Summary

This Administrative Specialist III position provides a variety of senior level administrative and clerical support to the King County International Airport Maintenance section.

WHO MAY APPLY: This career service position is open to all qualified King County career service employees who are members of Local 117 Administrative Support Services bargaining unit and the general public. First consideration will be given to Local 117 Administrative Support Services bargaining unit members.

WORK SCHEDULE: This full-time position is non-exempt from the Fair Labor Standards Act and is overtime eligible. The standard workweek is Monday – Friday; 40hrs/week; 8hrs/day. Alternate shift work including weekends maybe required, depending on workload, projects and/or emergencies.

Job Duties

Duties include but are not limited:

  • Organizes and operates the Airport’s work control center
  • Receives, processes and follows up on maintenance service requests from internal and external customers' trouble calls, work orders requests, and data collection
  • Gathers, inputs, and updates asset information into the airport’s Computer Maintenance Management System (CMMS); ensures that costs including labor and materials are associated with the correct asset
  • Operates and maintains the airport’s CMMS including asset database, work order programs, costing and report generation
  • Dispatches maintenance personnel using the work order system
  • Provides design and set-up support for the future of the CMMS function, appearance and architecture
  • Interprets established policies, codes, regulations and other relevant sources for compliance
  • Manages compliance files such as NFPA fire system inspections and testing, hazardous waste reports, daily airfield inspection reports, etc
  • Prepares cost reports for senior management review
  • Maintains schedule calendars for airfield, building and trades managers
  • Maintains decision record for CIP, safety, and other committee meetings
  • Performs office administration functions including interoffice mail, stationary and supply ordering to ensure that all office equipment is stocked, filled and ready for use on a daily basis
  • Develops and maintains multiple data bases such as key and core records wild life data base and other miscellaneous data bases etc
  • Assists Fleet Management in fleet administration functions
  • Other duties as assigned

Experience, Qualifications, Knowledge, Skills

The successful candidate for this position will have, as a minimum, experience with the use of relational databases, along with the following qualifications:

  • Knowledge of general office policies, principles and practices
  • Knowledge of basic accounting and mathematics
  • Knowledge of proper English grammar, usage and spelling
  • Skills in the use of office machines; calculators, printers, copiers and scanners, faxes, cameras, tape recorders, audio and video equipment and telephone systems
  • Communication skills
  • Organizational, analytical, and problem-solving skills
  • Skills in the use of Microsoft Windows, Office, Access, Power Point, Publisher, Word and Excel
  • Customer service skills
  • Research skills
  • Ability to repetitively lift up to 25 lbs in various positions (archiving and records management)
  • Ability to type 40 word per minute
  • Ability to effectively interact with senior and middle management and peers
  • Ability to effectively interact with the public
  • Ability to work both independently and as a team player
  • Ability to follow oral and written instructions
  • Ability to prioritize work load and adapt to changes in workload demands
  • Ability to maintain confidentiality on sensitive matters

Supplemental Information

In addition to the qualifications set forth above, the most competitive candidates will have

  • Prior knowledge of airfield practices and construction/maintenance procedures
  • Knowledge of airfield, building and fleet regulations
  • Prior experience working with a Computerized Maintenance Management System (CMMS)
  • Prior experience working in a Maximo Asset and Service Management environment
