Shoreview, Minnesota, a premier City in the north metro area of the twin cities seeks a dependable, strategic and detail-oriented candidate for its next deputy clerk.
This position supports city leadership, manages the city’s official records, and performs other clerk-related duties such as issuing business licenses and preparing city council packets.
This is a highly detailed position that requires strong organizational, creative, and customer service skills, as well as staying up to date on best practices.
Records management and data practices
• Establishes and administers a city-wide records management and data practices program and coordinates with departments to ensure compliance.
Creates and performs regular staff training on records management and data practices program and Laserfiche.
• Maintains official city records such as resolutions, ordinances, city code, public hearing notices, packets, and minutes. Uploads records to Laserfiche.
Oversees retention/destruction of records according to the adopted records retention schedule.
• Serves as the data practices responsible authority and compliance official pursuant to the Minnesota Data Practices Act. Responds to and tracks data
requests.
• Coordinates with staff members to maintain updates to city code.
City council and advisory boards
• Prepares and distributes city council agenda packets using the agenda management software. Completes tasks related to resolutions, ordinances, meeting minutes, and contracts after council action.
• Writes staff reports for city council action.
• Oversees advisory board membership. Notifies members of upcoming term expirations and works with staff liaisons to coordinate applications and appointment/reappointment process.
• Distributes packets for boards managed by administration.
Elections
• Serves as a liaison with Ramsey County for elections.
Licensing
• Manages business licensing for liquor, tobacco, cannabinoid, massage establishments, massage therapists, temporary liquor, and lawful gambling
Customer service
• Provides support to the city manager, assistant city manager, and city council
• Serves as Notary Public
• Assists the public and staff with providing/interpreting policies, procedures, ordinances, statutes, etc.
• Establishes and maintains good working relationship with the general public, city staff, elected officials, other agencies, vendors, contractors, and others
Processes and policies
• Remains current on best practices. Conducts research on policies, statutes, ordinances, procedures, etc. Recommends and implements changes as needed.
• Performs other job-related duties as assigned.

• Two years of paid experience working in a professional office or customer service setting
• Two years of paid experience working in records management and data practices
• Experience in Microsoft Word and Excel

• Associates degree in business, office administration, or closely related field or certified municipal clerk designation
• Experience working in city or county government setting
• Experience in Google Workspace, Peak Agenda Management, and Granicus MediaManager
• Additional experience in records management and data practices
Hours: Typically, Monday – Friday, from 8:00 am - 4:30 pm
