JOB TITLE: Arena Coordinator
DEPARTMENT: Parks, Recreation & Civic Facilities
DIVISION: Civic Arena
SALARY: $41,069 yearly ($19.74471 hourly)
CLOSING DATE: Until filled

Job Summary
Acts as liaison between internal and external customers. Performs a variety of administrative duties that enables management of the arena and concession functions to operate effectively. Assists in monitoring the annual budget.
Supervisory Responsibility
Integral to the position of Arena Coordinator is the responsibility for developing subordinates to their fullest potential by exercising appropriate degrees of coaching, training, guiding, evaluating, correcting and, if necessary, disciplining.

Essential Duties and Responsibilities
  • Supervises, trains, and schedules all temporary concession employees.
  • Answers telephone, often multiple calls, with the ability to direct calls to proper channels and meet the individual needs of each caller, while maintaining a courteous attitude.
  • Facilitates all aspects of the Scoreboard/Message Board including programing, operating and training.
  • Interacts with and provides accurate information to promoters/clients/visitors, and customers of the Arena and performing customer service activities.
  • Assists in all TicketMaster functions, including ticket builds, ticket sales, ordering tickets for events, cashiering, reconciling, and maintaining TicketMaster records.
  • Maintains inventory and ordering all concession and maintenance supplies.
  • Assists in settling events. Close out ticket sales, make sure invoices are paid etc.…
  • Utilizes computer equipment to create, process and maintain a variety of documents including event summaries, contract information, concession purchases and sales.
  • Assists in coordination of events with promoters and staff including working setups and changeovers and events.
  • Availability to work flexible schedule including days, nights, and weekends.
  • Assists and acts as a liaison with customers and clients in obtaining accurate information pertaining to events and coordinating and conveying the information to Civic Facilities staff.
  • Processes incoming and outgoing correspondence and assists in preparation and distribution of Civic Facilities Event Calendar and maintaining the customer mailing lists.
  • Responsible for all social media functions for both the Civic Arena and the Missouri Theatre.
  • Assists in maintaining accounting records for budget and event purposes.
  • Performs all other related duties as assigned.

Required (Essential) Knowledge, Skills and Abilities
  • Skills in computer related office application programs, filing, recordkeeping and communication
  • Skills in supervising, training, and providing guidance to temporary work crews.
  • Ability to multi-task and work independently.
  • Knowledge of basic accounting procedures necessary to reconcile, compile, and coordinate multiple projects with accuracy and completeness.
  • Ability to work with fluctuating schedules, which will include days, evenings, weekends, and holidays.
  • Ability to communicate effectively both orally and in writing.
  • Three or more years of prior related work experience.
  • Valid driver's license required.

Material and Equipment Directly Used
Uses a variety of office equipment including computer and software applications, copier, telephone, calculator, fax machine, typewriter, cash registers, credit card machine and computerized ticketing. There may be times when use of personal vehicle may be required.

Working Conditions/Physical Requirements
Work is performed in an office setting with a controlled environment. Will be required to work outdoors at various events/programs on a seasonal basis, where conditions can vary from extreme heat and cold with dust, dirt, snow, ice, and noise, while standing, bending, lifting and other physical activities. lifts more than 50 pounds. Some overnight or day travel may be required for business purposes. Vacation and other leave scheduling shall be requested of and approved by the appropriate supervisor.

Education
High School Diploma required. Bachelor’s Degree preferred.

Passing of a drug screening required prior to appointment.
