What are the responsibilities and job description for the Deputy Court Clerk position at City of Suwanee?
The City of Suwanee is currently recruiting for a Deputy Court Clerk. The Deputy Court Clerk is responsible for providing clerical support to Suwanee Municipal Court staff and the general public in the interest of fairness and judicial expediency. This includes providing customer service, taking payments, reviewing and closing cases, and sending conviction information to appropriate agencies.
ESSENTIAL JOB FUNCTIONS
- Answers telephone and greets visitors; and provides information and assistance.
- Accepts payments by telephone, by mail and in person; and maintains cash drawer.
- Processes all legal documents received by the court.
- Processes incoming and outgoing mail.
- Receives and recalls warrants as appropriate.
- Exports police citations to court records database; utilizes GCIC procedures to run license plate, driver and criminal histories to accompany citation records; attaches incident and accident reports; requests test results from Georgia Bureau of Investigation; and requests intake results from police records.
- Assists in processing bond money received.
- Generates electronic license suspensions.
- Enters court dispositions directly to GCIC and electronically transmits dispositions to DDS.
- Provides assistance to court personnel as needed.
- Issues failure to appear warrants and probation warrants; recalls warrants; and verifies and files inactive warrants.
- Prepares court dockets; mails subpoenas; prepares related files; and requests video recordings from the Police Department.
- Scans all documents received into paperless court system.
- Provides assistance to judges, solicitors, attorneys, probation officers, and interpreters during arraignments and trials.
- Performs other related duties as assigned.
QUALIFICATIONS
Deputy Court Clerk I – Pay Grade 104
Education and Experience:
Requires a high school diploma; and one (1) year of work-related experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Deputy Court Clerk II - Pay Grade 110
Education and Experience:
Requires a high school diploma; and two (2) years of work-related experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Fully cross trained as a Business Services Specialist and able to perform those duties independently.
Licenses or Certifications:
- Possession of or ability to readily obtain a valid driver’s license issued by the State of Georgia for the type of vehicle or equipment operated.
- Possession of or ability to readily obtain certification as a CJIS Network Operator.
Knowledge, Skills and Abilities:
- Knowledge of the rules, regulations, policies and procedures of municipal court, law enforcement, and record keeping.
- Knowledge of records preservation requirements.
- Knowledge of confidential guidelines.
- Knowledge of computers and job-related software programs.
- Knowledge of modern office principles and practices.
- Knowledge of customer service principles and practices.
- Knowledge of Microsoft Word, Excel, PowerPoint, and other similar programs.
