Description
The Guest Relations Specialist serves as the first point of contact for the guests and ensures that a high degree of quality services are being offered to them. We are looking for highly organized candidates with excellent people skills that will provide professional services in a courteous manner, assisting guests with inquires and registration. Preferred candidates will be positive, pro-active and be skilled at multitasking in a fast paced environment.

Work Schedule:
This position would work 9:30AM - 6:30PM on Sundays and 10:00AM- 7:00PM Monday through Thursday
SUPERVISION
Employee works under the direction of the Facilities Operation Manager. Employee must be able to respond to questions from citizens or other employees regarding services, eligibility, and procedures of the department. Work is reviewed for accuracy and completeness, and for adherence with established procedures. Employee may supervise volunteers or seasonal clerical staff. Work is reviewed through meetings with supervisors and co-workers and performance appraisals.
ESSENTIAL FUNCTIONS OF WORK
Acting as an information source on various matters, keeping abreast with latest developments and changes within the Community Center.
Greeting guests in a sincere and friendly manner and making them feel welcome.
Trains new part-time employees on work procedures, software and practices.
Anticipating and addressing guests' needs and resolving their problems and complaints appropriately, calmly and in a timely manner.
Collaborating and communicating with other internal departments to ensure guest satisfaction.
Comply with Westerville Community Center procedures and safety policies.
Be responsible for registering, and receiving payments from guests, for programs, activities, passes and daily admissions.
Balancing cash drawer at the end of the shift following money handling procedures set by the department.
Make sure that the guests remain satisfied and content with the services that are being offered, take feedback from the guests as to how services can be improved.
Process credits, refunds and transfers for programs, activities and pass registrations.
Acquire, through provided training, a working knowledge of RecTrac that is used daily.
Answers telephones and responds to inquiries over the telephone and in person; refers and assists guests and other callers; responds to various inquiries and provides information of services and functions; receives complaints from a variety of sources; greets visitors; opens, sorts, and disburses incoming mail.
Generates work orders; enters orders and maintenance records into computer; runs monthly reports.
Maintains records and files; tracks and maintains inventory of supplies; types purchase orders; assists other employees with secretarial tasks as needed.

MINIMUM REQUIREMENTS OF WORK
Graduation from high school and two years clerical or administrative support experience; or any equivalent combination of training and experience which provides the following knowledge, abilities, and skills:
Knowledge of clerical and secretarial practices and procedures.
Knowledge of business English, spelling, and arithmetic.
Knowledge of modern office practices, procedures, and equipment.
Some knowledge of word processing, desktop publishing, and other software packages.
Ability to type and transcribe a variety of correspondence.
Ability to establish and maintain effective working relationships with other employees, officials, and the public, and to deal with public courteously and tactfully.
Ability to respond to inquiries in accordance with established policies and procedures.
Ability to maintain records.
Ability to operate copy, fax, and other office machines.
Ability to communicate effectively, both orally and in writing.
HEALTH BENEFITS
Employees pay 15% of the monthly medical insurance premium through United Healthcare which includes prescription coverage. Employee, Employee plus child(ren), Employee plus spouse and family coverage is available. However, a spouse who has affordable health care coverage through their employer must elect that coverage as primary. The City health care plan is a high deductible healthcare plan.
HEALTH SAVINGS ACCOUNT
Annually, the City will deposit 85% of your health insurance deductible amount into an HSA account in your name.
VISION AND DENTAL
The City pays 100% of the premium for dental and vision. Coverage levels will be explained in further detail at time of hire.
LIFE INSURANCE
The City pays 100% of the premium on a $100,000 life insurance policy for employee and $10,000 for spouse and $5,000 for child.
RETIREMENT PENSION
The City contributes 14% monthly toward retirement benefits offered through the Ohio Public Employee Retirement System. The employee pension payment share is 10% of gross salary.
VACATION
New employees accrue two weeks of paid vacation every year. Vacation time increases with length of service time.
PERSONAL LEAVE
Employees receive 6 prorated days of personal leave annually.
