Responsibilities:

  • Calendar Management: Manage the daily schedule, including appointments, meetings, and travel arrangements for the CEO and members of the ELT. Prioritize important matters and coordinate with internal and external stakeholders as necessary.
  • Communication Management: Screen calls and emails, respond to inquiries on behalf of the CEO and members of the ELT. Draft and edit correspondence, and prepare presentations.
  • Travel Coordination: Arranging travel logistics for the CEO and members of the ELT such as booking flights, accommodations, and ground transportation.
  • Document Management: Prepare reports, memos, and other documents, ensuring accuracy and timely delivery.
  • Meeting Coordination: Set meeting agendas, preparing materials, taking minutes, and following up on action items.
  • Expense Reporting: Prepare, track and submit expense reports for the CEO and ELT members.
  • Office Administration: Assist in ordering office supplies, managing filing systems, and coordinating with other administrative staff.
  • Project Management: Assist the Chief of Staff with special projects as assigned by the CEO, including research, data collection, and follow-up.
  • Confidentiality: Maintaining strict confidentiality regarding sensitive information.

Required Skills:

  • Excellent communication skills, both verbal and written
  • Strong organizational and time management skills
  • Proficient in Microsoft Office Suite and other relevant software
  • Detail-oriented with a high level of accuracy
  • Ability to prioritize tasks and manage multiple demands
  • Discretion and ability to handle confidential information
  • Professional demeanor and strong interpersonal skills
