Job Summary:
The High School Secretary provides comprehensive administrative and secretarial support to the high school principal, staff, students, and parents. This vital role serves as the first point of contact for visitors and callers, managing a variety of tasks to ensure the efficient and smooth operation of the high school office. The ideal candidate will be highly organized, detail-oriented, possess excellent communication and interpersonal skills, and maintain a professional and welcoming demeanor.
Key Responsibilities:
Front Office Management:
Greet and assist students, parents, staff, and visitors in a friendly and professional manner.
Answer incoming phone calls, direct calls to appropriate personnel, and take messages accurately.
Manage the main office reception area, ensuring a tidy and organized environment.
Handle incoming and outgoing mail, faxes, and deliveries.
Administrative Support:
Provide direct administrative support to the high school principal, including scheduling appointments, managing calendars, and preparing correspondence.
Prepare and distribute various school communications, memos, newsletters, and reports.
Maintain accurate and confidential student records, including attendance, enrollment, grades, and disciplinary information.
Assist with the registration and withdrawal process for students.
Manage and maintain office supplies inventory, placing orders as needed.
Assist with the preparation and organization of school events, meetings, and parent-teacher conferences.
Maintain various filing systems (both physical and digital) for efficient record retrieval.
Student and Staff Support:
Assist students with various needs, including late arrivals, early dismissals, and general inquiries.
Distribute medications to students as directed by school nurse and parent consent (with proper training and adherence to protocols).
Support teachers and staff with administrative tasks as requested, such as photocopying, collating, and distributing materials.
Assist with substitute teacher arrangements as needed.
Communication and Collaboration:
Communicate effectively and professionally with all stakeholders, including students, parents, staff, and community members.
Collaborate with other school secretaries and district staff to ensure consistent procedures and support.
Maintain confidentiality of all sensitive information.
Other Duties:
Perform other duties as assigned by the high school principal to ensure the smooth operation of the school.
