The Entry Services Coordinator will assist prospective students by answering questions and providing information about CPTC career and educational pathways and the enrollment process at CPTC. This position supports the College’s mission by increasing enrollment through intentional outreach and student success and educational access through intentional efforts to assist new students in navigating the entry process.

Tasks include:
- Provide direction and support through the admissions process, deliver CPTC program information, steps, and resources on and off-campus in-person/virtually, walk-in and appointment based.
- Refer students to appropriate services and resources to support the entry process such as disability, Veterans, and special funding programs; Worker Retraining, WorkFirst, Opportunity Grant, BFET, Running Start, and private and public scholarship resources, etc.
- Assist in quarterly new student registration on and off-campus using the online registration system and Ctclink.
- Communicates through multiple methods of technology.
- Meets with all prospective students, providing information about CPTC and career pathways, helping students determine if our programs meet their career and educational goals, and assisting students in completing admissions materials in-person/virtually, walk-in and appointment based.
- Introduces prospective students to the tools needed to help prepare for their initial first quarter, i.e. email, financial aid portal, Canvas, etc.
- Cross reference transcripts to determine college placement using multiple measures.
- Utilize Ctclink to enter college placement scores using multiple measures.
- Utilize CRM to enter notes for prospective students
- Assist students in navigating the Academic Credit for Prior Learning Assessment process and connecting them with program faculty.
- Regularly integrates learning from professional development
Duty: Transition students successfully to CPTC programs and conversion of prospective students.
Tasks include:
- Refers students to Faculty Counselors and other campus and community resources for exploring careers and pathways.
- Review intake referral form and interest assessment with prospective students to empower students to establish realistic academic and career goals aligned with CPTC’s Guided Pathway model.
- Review initial strengths and challenges in students' career and educational pathway by identifying factors that enhance or prevent academic progress.
- Provides additional support and guidance for faculty and students on Program Information Sessions.
- Assists the Director of Outreach & Entry Services in designing focused entry pathways materials to help successfully enroll prospective students.
- Partners with Faculty Counselors to maintain update and update current information regarding programs.
- Reviews prospective student completion of all enrollment requirements, monitors progress metrics, determines when outreach might be helpful, analyzes where students encounter barriers, and recommends changes to tools, resources, and practices.
- Connects with students who do not complete the admission process in order to ensure entry into a CPTC program, improve current processes, and develop new plans to address emerging issues or barriers.
Duty: Participate in Outreach and Recruitment for target programs
Tasks include:
- Participate in on and off-campus outreach activities as needed; such as Open Houses and Expos.
- Conduct off-site application and registration workshops with local high schools.
- Collaborate with CPTC students, faculty, and staff to build and implement the innovative systems and processes of an admissions office based on best practices.
- Collaborate with the other local community and technical colleges in sharing booth duties and representations at high schools and community events.
- Maintain a visible presence at both campuses.
- Bachelor’s degree from an accredited institution.
- Two years of clerical/office work experience in a professional office or education environment.
- Two years of customer service experience in a professional office or education environment.
- Minimum of two years using Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent verbal and written communication skills.
- Experience in admissions, outreach/recruitment, and/or entry services work.
- Experience giving oral presentations. • Ability to work independently and as part of a team.
- Degree in education, psychology, or related field.
- Understanding of student development theory.
- Ability to develop positive working relationships with colleagues.
- Ability to multi-task, prioritize, and balance a heavy workload.
- Ability to communicate in a second language (Spanish preferred)
