We’re looking for a skilled, detail-oriented Senior Family Office Associate who thrives in a client-first, high-touch environment.
Position Summary:
The Senior Family Office Associate is a vital member of our Family Office team, serving as the go-to resource for clients’ day-to-day financial administration and lifestyle needs. This individual will manage and execute a wide range of services—from bill payment and cash flow coordination to travel support and administrative oversight—ensuring a consistently high standard of service and discretion.
This is a hands-on role requiring strong organizational skills, proactive communication, and the ability to juggle multiple priorities with grace and confidentiality.
Key Responsibilities:
Day-to-Day Client Administration
- Manage and execute all aspects of client bill pay, including scheduling payments, tracking due dates, and reconciling transactions
- Monitor client cash flow and coordinate with internal advisory and accounting teams as needed
- Oversee recurring and one-time disbursements, charitable donations, and vendor payments
- Maintain detailed records of all activity and transactions for each client
Lifestyle & Concierge Support
- Act as liaison with personal attorneys, CPAs, and other third parties
- Respond to ad hoc client requests quickly and professionally, ensuring follow-through from start to finish
Process Management
- Develop and maintain client-specific workflows and procedures to ensure consistency and quality of service
- Identify opportunities to streamline tasks and improve internal processes
- Partner with compliance and operations to ensure all client activity is properly documented and within regulatory guidelines
Qualifications:
- 5 years of experience in a family office, private wealth, executive assistant, or concierge client service environment
- Strong background in bill pay, cash flow management, and personal financial administration
- Excellent attention to detail and follow-through
- Proven ability to manage highly sensitive information with discretion
- Professional, polished communicator—both verbal and written
- Experience with family office software (e.g., QuickBooks, bill.com, Addepar, Eton Solutions) is a plus
- Comfortable juggling multiple clients and adapting to unique client preferences
