Position Overview
We're looking for a detail-oriented and proactive Sales Assistant / Transaction Coordinator to support our real estate development team. You'll play a key role in keeping sales operations running smoothly, from the moment a buyer reserves a home to the final closing.
In this role, you'll work closely with the Sales Manager, Broker, and Sales Agents to organize schedules, review and process contracts, and coordinate with escrow officers and lenders. It's a great opportunity for someone who enjoys working in a fast-paced environment, staying organized, and being a central point of support for the team.
Key Responsibilities
- Help manage the Sales Manager's calendar, deadlines, and priorities, ensuring nothing falls through the cracks.
- Track escrows, process contracts and addenda, and maintain accurate records of timelines, contingencies, and closing milestones.
- Organize and process digital and physical files (contracts, amendments, closing documents) to ensure accuracy and compliance.
- Collect and compile weekly traffic and sales reports, and assist with updates for leadership and accounting teams.
- Serve as a point of contact for sales agents, escrow, lenders, and internal departments.
- Keep the sales office organized and provide general administrative assistance as needed.
Qualifications
- 2 years in real estate, escrow, or administrative support (homebuilding or development experience is a plus).
- Familiar with DocuSign, Microsoft Office (Word, Excel, Outlook); CRM or project management tools a plus.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Professional, clear communicator who handles sensitive information with discretion.
- Knowledge of California real estate and escrow processes is preferred.
- Bonus: Experience with DRE compliance or an active Notary commission.
