The Administrative Assistant provides standard and advanced secretarial and clerical duties to the Student Health & Wellness Services department, requiring experience, skill, the use of discretion, and knowledge of College and departmental policies and procedures.

- High school diploma or equivalent.
- Three (3) years of office support or administrative experience
- Ability to interact & engage with a diverse student body.
- Ability to work with confidential information.
- Excellent interpersonal skills.
- Excellent organizational and communication skills.
- Proficient in Microsoft Office
- Ability to work effectively and constructively with persons of diverse cultures, language groups and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities;
establish and maintain effective working relationships with those contacted in the course of work.

Summary of Essential Functions Student / Customer Service (45%)
- Greets visitors to Health Center, answers phone calls, handles routine inquiries and emails, schedules appointments, processes student medical records for clinical participation, refers as appropriate.
- Ensure and maintain complete confidentiality of student and staff records / interactions at all times.
- Maintain appropriate boundaries in all interactions with students and staff, referring all those presenting to Center to appropriate professional physical / mental healthcare provider for consult or treatment.
Department Operations / Processes (35%)
- Prepares and / or composes basic and various correspondence, memos, agenda items, reports, meeting notes, etc.
- Update and maintain database of records that includes, but is not limited to student, employee, program, and billing information.
- Coordinates and maintains calendar of events, appointments, meetings, catering activities, and / or travel arrangements for department staff.
- Collects, compiles and prepares data and information for various reports.
- Carries out recurring office procedures.
- Organizes and updates / maintains office files, manuals, records, bulletin boards, etc.
Purchasing / Ordering / Budgeting (15%)
- Monitor budget and brings concerns to the attention of the Director.
- Processes payment requests, purchase orders, requisitions and invoices.
- Maintains inventory of supplies and forms, reordering as necessary.
Other (5%)
- Assists in the preparation and distribution of brochures, fliers and other departmental materials that describe and advertise departmental programs, workshops, events, etc.
- Sorts and distributes mail for the department.
