Activities Manager
Reports to – Director of Operations
Position Summary – The primary role of the Activities Manager is to engage the residents of all the Colony Retirement Homes (I, II, III, IV, and Holden) by planning, setting up, coordinating, and implementing social, recreational, educational, and travel programs.
Qualifications
Education, Experience, and Training–High School diploma or equivalent required. Experience with the elderly preferred. Valid driver's license. At least one year’s previous experience directing activities is required. Supervisory experience preferred.
Knowledge, Skills, and Abilities – Strong interpersonal skills including having a helpful and patient nature. Ability to work independently and as part of a team. Ability to communicate clearly both orally and in writing, particularly during emergencies. Clean and professional appearance required. Requires ability to focus on details and multitask as situations demand. Creativity in developing activities and programs to stimulate the interests of elderly residents and engage them in social interactions. Exhibits patience in dealing with a group of people who may have diverse backgrounds, personalities, and capabilities. Empathetic to the needs and behaviors of people as they cope with the aging process. Energetic and promotes a positive and optimistic outlook when dealing with residents. Work with minimal supervision. Possess organizational skills and the ability to coordinate with external parties, e.g., transportation providers, travel representatives, etc. Valid license or ability to travel to different locations. Job Responsibilities* – those responsibilities italicized below are considered essential functions.
- Implements and facilitates a variety of programs and activities to engage the residents.
- Ensure that programs and activities are conducted in a safe manner so that they provide no hazards to residents or Colony personnel.
- Schedules programs for the month and purchases the necessary materials to support programs.
- Proficiency with everyday computer tasks, including emails, spreadsheet management, drafting resident communications, basic social media updates, and operating office phone systems
- Types and distributes a monthly calendar of events for residents at each Colony site.
- Ensure that residents are fully aware of programs and activities and encourage participation in and/or help with them.
- Prepares and posts reminders of upcoming events.
- Attends and assists with special occasion meetings.
- Maintains professional relationships with resident associations at all Colony sites.
- Works with residents on program committees that include soliciting resident input.
- Supervises Crafts Instructor and Neighborhood Networks staff.
- Performs supervisory responsibilities including selection, training, motivation, and evaluation of assigned personnel. Works with staff to correct deficiencies. Completes appropriate paperwork such as timecards, evaluations, as directed.
- Fills in as site manager when site managers are not present on site.
- Makes sure adequate supplies are on hand. When supplies are low, forwards list of needed supplies to supervisor or orders directly as directed.
- Monitors the assigned lines in the budgets to ensure spending is within allowances.
- Maintains the petty cash fund and receipts for accounting as needed.
- Maintains confidentiality of resident and employee information.
- Keeps supervisor adequately informed of any issues of concern.
- Keeps supervisees informed of new Colony information and updates.
- Stays on top of developments in the field.
- Maintains communication with other site staff to ensure smooth operations.
- Maintains plants in greenhouse.
- Plants flowers at sites as requested by site staff.
- Plans day trips and supervises residents the day of trip to be sure everyone is safe and happy.
- Other duties as assigned.
Work Conditions/Physical Demands –
- Position is hourly. 37.5 hours per week. Frequent need for flexibility and/or additional hours. Hours generally during typical business hours (8am-6pm). Hours in travel, office and apartment building setting.
- Requires ability to move about where the program or activity is being conducted.
- May require occasional lifting of supplies, generally 20 pounds.
- Some activities may require physical dexterity and close visual acuity, for instance, playing bocce or cards with residents.
- Repetitive movements may be required.
- Will require some work to be performed in outdoor weather conditions.
- Must be able to operate a DVD, Wii console, and other entertainment equipment.
- Requires ability to file, operate typical office machinery such as postage meter, copy machine, printer, fax machine and computer.
- Requires ability to concentrate during regular, noisy periods.
