POSITION: CONSTRUCTION ADMINISTRATOR
We are currently seeking a qualified and dynamic Construction Administrator to join our team at COMANCO. We are looking for an individual who can support various departments within our organization.
Job Focus:
Bid and Document Management:
- Maintain a comprehensive client list by updating and inputting new account and contact information.
- Oversee and review the accuracy of the bid schedule.
- Request, organize, and file bid documents (plans, specifications, estimates, etc.), ensuring proper documentation for each bid.
- Communicate bid information effectively with the estimating team.
- Handle addendums and provide necessary updates to the Estimating team.
- Manage plan holder lists for subcontractor bids and update information in the company's database.
- Maintain all bid-related spreadsheets and ensure timely submission of bid packages.
- Order bid bonds and Certificates of Insurance when required.
- Ensure all bid and prequalification packages are submitted and tracked accurately.
Client and Subcontractor Relations:
- Develop and maintain relationships with key clients and subcontractors.
- Update and maintain the company's Statement of Qualifications and project resumes.
- Research upcoming projects and provide relevant project data to management.
Operations Support:
- Assist with contract preparation, documentation, and ensure all contract bonds and insurance certificates are in place.
- Scan and file all contract-related documents in the project folder.
- Review and assist with project expense reports and data entry.
- Support project managers and engineers with research and document preparation.
- Prepare reports, letters, and presentations as requested.
- Assist with notarizing documents, if applicable.
Qualifications:
- Education: High School Diploma required
- Experience: Minimum 2 years or more of customer service, estimating/bidding processes, and project management support.
- Skills: Proven ability to manage multiple projects/activities in a dynamic, fast-paced environment. Superior communication and organization development skills. Strong interpersonal skills and ability to work with cross-functional teams. Ability to interact and communicate effectively and positively both verbally and in writing (in English).
- Mathematical Skills: Ability to add and subtract two-digit numbers and multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
- Computer Skills: To successfully perform this job, an individual must be able to master software unique to the company in minimum time. An individual must have a working knowledge of the Internet, Microsoft Outlook, Word, Excel, PowerPoint, and Adobe.
