SUMMARY: Assists in the daily business and program operations, curriculum development and management of Community Education, which includes the Extended Day Program, Mini Explorers, Integrated Pre-Kindergarten, summer program, enrichment classes and adult program opportunities.

 

QUALIFICATIONS: Bachelor’s degree or higher in education or related field preferred. Minimum of three years’ experience related to school age childcare and summer camp programming. Demonstrated leadership in program improvement, program development and curriculum integration. Strong written and verbal communication skills along with strong math and or accounting skills are integral to this position.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

 

Administration

  • Assists in the overall business operation of Community Education which includes but is not limited to entering and paying purchase orders, ordering program supplies, maintaining inventory of office supplies and photocopier, tracking expenses, and other administrative duties as assigned.
  • Works with WW-P business office to ensure purchase order accuracy and timely payments. Attends training and professional development as necessary.
  • Assists Community Education Director with the Request for Proposal process, reviews proposal submissions and tracks necessary vendor documentation.
  • Maintains accurate banking deposits, petty cash transactions, receipt collection, bank reconciliation and monthly revenue reporting. Makes recommendations for budget transfers.
  • Oversees yearly audit by preparing all required materials for the business office. Providing supplemental information or follow up reporting when necessary.
  • Develops and produces ongoing communications and reporting systems for vendors, and staff. Articulates clearly and professionally to written and verbal requests and questions.
  • Assists in the preparation of fall, winter, and spring afterschool enrichment, evening, Saturday and summer programs. Prepare vendor registrations, cancel classes if needed, and notify registrants.
  • Works with Program Administrator to complete all necessary reports and paperwork for schools, vendors and staff. Maintains accurate homeroom teacher information in Community Pass and EDP information in Genesis. Updates regularly.
  • Completes Extended Day Program schedule starts, changes, and withdrawals. Then provides follow-up information to all parties reflecting changes.
  • Completes all program withdrawals across Community Education. Processes credits or refunds.
  • Sends monthly EDP and Mini Explorers tuition bills. Follows up on accounts with outstanding balances.Oversees financial assistance, applies free and reduced lunch credits and or works with outside agencies for program scholarships.
  • Learns all functions and reporting capabilities of Community Education’s registration system, Community Pass. Makes recommendations for new reports to meet departmental and staff needs. Works with Community Pass staff to resolve issues.

Programming

 

  • Actively participates in the development of Extended Day Program and summer camp curriculum for Community Education staffed programs. Works directly with program leads on curriculum development and for the procurement of supplies.
  • Works with Community Education Director and Program Administrator in identifying programs of community need. Makes recommendations and seeks out new program vendors or ways to introduce new staff-led programs to grow the department.
  • Assists in program delivery or supervision in Extended Day Program, Mini Explorers, enrichment, day-off care, summer or other such programs. Proposes new ways to streamline current process or practice.
  • Assists in the development and production of departmental communication (i.e. newsletters, fliers, brochures, etc.).
  • Requests specific building and classroom areas for out of school time programs.
  • Submits bus requests to transportation and ensures the budget transfer applied correctly.

 Other

 

  • Attend all departmental staff meetings and open houses.
  • Performs all other duties that may be assigned by the Director.

SUPERVISORY RESPONSIBILITIES: This position has student and staff supervisory responsibilities while on location in the Extended Day Program, after school enrichment, summer camps, and adult programs.

 

PHYSICAL DEMANDS
Must be able to walk for extended distances, and accompany students on stairs. Dexterity of hands and fingers to operate a variety of standard office equipment and classroom learning tools. Clarity of vision at varying distance to monitor student’s behavior during program activities. Verbal, auditory, and written capabilities to effectively communicate in an articulate manner. Must have the ability to lift boxes and supplies at a weight of 20 pounds. CPR and First Aid certification may also be required.

COMPUTER SKILLS: Proficient in computer applications pertinent to support the position, including but not limited to Microsoft Word, Excel, Google Forms, Google Sheets, Google Docs. Must be familiar with and/or learn Systems 3000 and Community Pass Registration.

EVALUATION: Performance in this position will be evaluated annually in accordance with the Board’s policy on supervision and evaluation of non-certificated personnel by the Director of Community Education.

 

TERMS OF EMPLOYMENT
12-month contract. Salary and benefits as determined by the Board of Education.
