What are the responsibilities and job description for the Office Assistant position at Connecting Communities in Action?

Job Summary:

To staff the reception area of the Department of Community Services, to welcome customers and visitors, to create a positive and efficient work environment, and to perform basic clerical functions.

Education & Experience:

  • High School Degree Required, plus one of the following: successful completion in a course involving the use of personal computers and associated programs or three months experience in a clerical position in which the candidate was regularly required to use computers, telephone systems, and basic office equipment.

Other Requirements & Skills:

  • Must have valid driver’s license, insurability, and reliable transportation.
  • Keyboard proficiency is a must. Excellent skills in use of office equipment including but not limited to computers, copiers, fax machines, internet, etc.
  • Must pass the following background checks – County and NYS criminal, NYS Justice Center, NYS DMV driving record, and NYS Central Registry.
  • Understanding of Trauma Informed Care – ability to operate within an empathic, person-centered framework.
  • Experience in working with the public.

Primary Responsibilities:

Answering all incoming calls not forwarded to the automated attendant, sharing routine information and/or directing calls to appropriate people.

  • Greeting clients and other visitors, and directing visitors to either the person with whom they have an appointment or to the appropriate location in the department.
  • Collecting customers’ personal information as appropriate, which may include, but is not limited to insurance information.
  • Collecting customer payments at the time of each customer’s visit; providing receipts.
  • Scheduling meetings and appointments for colleagues and clients.
  • Performing routine office equipment maintenance tasks.
  • Maintaining office files per procedure.
  • Sorting, dating and delivering office mail.
  • Performing clerical duties for staff including but not limited to making copies, sending, or receiving faxes, typing, and proofreading.
  • Maintaining a professional reception area, front office area and personal desk space.
  • Comply with all funding source regulations, for creating a safe environment, and to report any unsafe situations to the immediate supervisor.
  • Must be enthusiastic about promoting the mission of CCA, be willing to work towards the good of the entire agency, and to act as an ambassador of CCA throughout the community.
  • Perform other duties as assigned by the supervisor.

Physical Requirements

The following lists physical demands an employee will perform on a regular basis: Standing, walking, sitting, bending, squatting, kneeling, and climbing stairs. Additional abilities, with or without accommodations include:

  • Ability to drive.
  • Ability to evacuate a building quickly.
  • Ability to see both close and at a distance.
  • Ability to respond to auditory prompts including voices, alarms, telephone, etc.
  • Ability to lift up to 10 lbs.
