Monday to Thursday
Position Overview
We are seeking an experienced Advanced Administrative Assistant with hands-on experience managing steel certifications and material documentation. This role supports quality, procurement, and operations by ensuring accurate handling of Mill Test Reports (MTRs), material traceability, and certification packages in a fast-paced manufacturing or fabrication environment.
Key Responsibilities
- Review, track, and maintain steel Mill Test Reports (MTRs) and material certifications
- Verify material traceability, heat numbers, grades, and compliance with purchase orders and drawings
- Coordinate with vendors, procurement, and quality teams to resolve certification issues
- Maintain organized certification logs and document control systems
- Compile certification packages for customer submittals and job closeouts
- Support audits, inspections, and quality reviews by providing complete documentation
- Provide advanced administrative support, reporting, and data tracking as needed
Required Qualifications
- 5 years of administrative experience in a manufacturing, fabrication, or industrial environment
- Direct experience with steel certifications, MTRs, and material traceability
- Strong attention to detail and document accuracy
- Proficiency in Microsoft Excel, Word, and Outlook
- Ability to work independently and manage multiple priorities
Preferred Qualifications
- Experience with ASTM, ASME, AWS, or customer-specific quality requirements
- Familiarity with QA/QC processes and receiving documentation
- Experience in regulated industries (nuclear, defense, energy, etc.)
