JOB SUMMARY
The Administrative Support I for Procurement reports directly to the Deputy Clerk of the Board as well their designee to support and assist in the procurements of all related commodities/ goods and services for the Cook County Clerk's Office. The Administrative Support I performs specialized and responsible work in connection with locating sources of supply, interviewing prospective supplies or bidders and processing of requisitions and purchase orders; develops, reviews, and analyzes technical specifications and standards for products; does the more complex purchasing of materials, supplies and equipment. In addition, they are responsible for the procuring open market purchases, paying invoices and all other procurement related duties as deemed necessary by the Deputy Clerk of the Board or their designee.
Essential Job Duties
- Invite, reviews. Checks, and compares bids for items under $5000
- Recommend award for Deputy Clerk approval
- Issue Purchase Orders
- Analyze and negotiates for products, delivery dates, prices with supplies
- Oracle utilization
- Receive Deliveries
- Recommend award for Deputy Clerk approval
- Prepare Inventory Reports, review inventory report, sign off inventory report
- Ensure standard with legal requirements
- Assist in development new and revised specifications for open market purchases
- Process Payments
- Research Information in Oracle
Minimum Qualifications
- Associates degree in related field
- One (1) year procurement/ inventory experience
Preferred Qualifications
- Bachelor's degree in business related field
- Three (3) years procurement/ inventory experience
- Computer literate with industry standard software, including but not limited to, the Microsoft Office Suite of programs.
Knowledge, Skills and Abilities
- Ability to work successfully under pressure as well as meet strict deadlines.
- Clear and coherent communication skills, including but not limited to writing and speaking.
- Problem-solving skills.
- Ability to make independent, competent and objective decisions.
- Knowledge of governmental processes, as well as the interplay between the Clerk's office and various other governmental agencies.
- Strong attention to detail
- Strong organizational skills
Physical Requirement
- Ability to stand, sit, and kneel for long periods of Time.
