What are the responsibilities and job description for the Practice Administrator position at Cornell Scott-Hill health?

The Practice Administrator is responsible for optimizing operational performance of their clinical practice areas. Provides staff with on-site support and guidance to ensure quality patient care and service. Plans, coordinates, and leads staff to ensure efficient and effective operations, and achievement of financial targets. Recruits, trains, and mentors administrative staff. Implements policies and procedures related to scheduling, registration and flow, billing and collections, customer service, communication with internal and external customers, human resources and personnel management, HIPAA compliance, and quality and patient safety standards. Collaborates with clinical leadership to support provider productivity and patient service.
 

Responsibilities to include but are not limited to:  

  • Oversees the flow and distribution of patients, optimizing resources and clinical care in all disciplines. Actively manages schedules, patient recalls, and new patient waiting lists to ensure maximum possible access for patients.
  • Oversees all practice-based activities that support successful accounts receivable outcomes, including but not limited to accurate data entry, patient payment collections, timely posting and batch processing, verification of patient’s insurance status, and referrals to the Eligibility and Enrollment department.
  • Works with front line staff to ensure each employee understands their job descriptions, the desired results associated with their work, and the resources available to ensure compliance, efficiency, and patient satisfaction.
  • Recruits, trains, and mentors staff in operational functions ranging from provider/patient relations, patient flow, appointments, schedules and staff coverage, registration, cash collections, and other administrative responsibilities.
  • Supervises and evaluates assigned personnel in the performance of their required duties by providing appropriate feedback through fair and accurate performance reviews.
  • Maintains up-to-date personnel files and performance evaluations, and has open and consistent communication with Human Resources.
  • Responsible for outreach to inform the community about health care services available at the center. Maintains active contact with community organizations and represents CS-HHC at appropriate meetings when requested.
  • Provides consistent weekly communications to Director of Clinic Operations, including site reporting, resource management, and quality assurance as established by the organization and regulatory bodies
  • Responsible for assuming other duties as may be necessary for the efficient and effective management of the center operations.

Requirements: 

  • Bachelor’s Degree in a related field or 5 years of relevant healthcare experience is required.  
  • A minimum of five (5) years relevant experience in ambulatory care required. 
  • Knowledge of Epic EHR preferred. 
  • Operational experience in multi-specialty clinical environment. 
  • Knowledge and experience in healthcare management. 
  • Knowledge of ambulatory health delivery systems. 
  • Familiarity with concepts of community/public health and managed care. 
  • Must have working knowledge of appointment booking, registration, medical records, billing and patient flow systems applicable to healthcare operations.
