Work Schedule: PRN (As Needed)
Job Summary:
The Office Support PRN Staff will provide essential administrative and clerical support on an as needed basis, assisting with a variety of office-related tasks. This role is ideal for individuals looking for flexible hours and the opportunity to gain experience in an office environment. The responsibilities will include general office management, data entry, handling correspondence, and assisting various departments as needed. The position requires excellent organizational skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
General Administrative Support:
- Answer and direct phone calls and emails, and address inquiries from staff, clients, and visitors.
- Assist in scheduling meetings, appointments, and maintaining calendars.
- Prepare meeting rooms and assist with virtual or in-person meeting setups.
Clerical Tasks:
- File, organize, and manage both physical and digital documents and records.
- Prepare and distribute correspondence, including letters, memos, and notices.
- Handle incoming and outgoing mail, deliveries, and packages.
Office Management Support:
- Maintain office supply inventory and order replenishments as necessary.
- Assist in the upkeep and organization of office spaces, including breakrooms and meeting areas.
- Ensure office equipment is functioning and report issues to the appropriate personnel.
Data Entry & Record Keeping:
- Enter and update data in company systems, ensuring accuracy and proper formatting.
- Assist in managing and maintaining spreadsheets and other tracking tools.
Customer Service & Front Desk Duties:
- Greet visitors and clients professionally and ensure they are attended to in a timely manner.
- Provide general office information or direct individuals to the appropriate department or staff member.
Team Collaboration & Project Assistance:
- Assist team members and supervisors with administrative tasks, such as photocopying, scanning, and filing.
- Support various departments with short-term or one-time projects, as needed.
Other Duties as Assigned:
- Perform other ad hoc office duties as required, depending on the temporary needs of the office.
