What are the responsibilities and job description for the Arbitration Administrator position at County of Chester?

The Assistant Court Administrator will provide administrative assistance in order to expedite the Chester County Civil Court System's caseload to ensure that the court calendar is functional.  This position is responsible for tracking and scheduling all arbitration cases for the Chester County Court of Common Pleas.
 
  • Schedule, reschedule, continue and coordinate arbitration hearings.
  • Receive and review correspondence.
  • Prepare arbitration and case aging reports.
  • Assign and notify arbitrators.
  • Prepare and maintain arbitrators' payment vouchers.
  • Respond to case-specific phone calls.
  • Fill out Continuance Forms for Judges' signatures.
  • Fill out form order to move cases to/from the Trial List or to/from the Arbitration List.
  • Prepare Trial List.
  • Review petitions to ensure that a hearing is necessary and sign "per curium" when appropriate.
  • Assist the Civil Court Administrator (as requested and in absence of the Civil Court Administrator) in performing duties to ensure continuity of the Court's business.
  • Make room arrangements and schedule rooms for arbitration panels.
  • Prepare Arbitration Notices.
  • Conduct criminal arraignments.
  • Attend meetings and classes to improve the judicial system's operation.
  • Perform other duties, tasks and special projects, as required.
  • Bachelor's degree from an accredited college or university, or equivalent combination of education and experience.
  • At least one year of job-related experience.
  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Working knowledge of the Chester County and Pennsylvania Arbitration Rules.
  • Working knowledge of Pennsylvania and local Civil Rules.
  • Strong interpersonal skills
  • Intermediate skill to use a personal computer and various software packages.
  • Knowledge and skill with standard office equipment (fax, copier, calculator, etc.).
  • Customer service experience.
  • Ability to work independently and proceed with objectives.
  • Ability to work as part of a team.
  • Ability to maintain confidential information and handle confidential matters.
  • Knowledge of Civil Court rules as they relate to arbitration to ensure that proper procedures are followed when administering arbitration matters in the Court Administrator's office.

  • General knowledge and understanding of County of Chester policies and procedures.
 
 Relevant background checks, clearances, physicals, drug tests, and any other assessments or evaluations will be conducted after an offer of employment is given per County policy.

To perform this job successfully, an individual should have:
  • Intermediate Word skills
  • Intermediate Excel skills
  • Basic OutLook skills (Email and Calendar)
  • Basic Internet Explorer skills
  • Working knowledge and skill with Court Administration system software.
