What are the responsibilities and job description for the Administrative Coordinator position at County of Lycoming?
Under general supervision, provides confidential secretarial and administrative support to the Lycoming County Board of Commissioners and the Director of Administration. This position will be responsible for assisting the Board of Commissioners in relaying the message and priorities of the Board of Commissioner and Lycoming County Government to the citizens of Lycoming County.
SPECIFIC DUTIES
1. Acts as receptionist for the Commissioners’ Office executive suite and provides courteous, informed assistance to employees, visitors, and the public. Includes both in person and telephone responsibility.
2. Prepares Board of Commissioners’ meeting agenda; assures action items are coordinated in advance with the Solicitor.
3. Manages the Right to Know requests and ensure timely responses.
4. Manages the County social media pages utilizing strategy to increase communication to public and our employees about the activities of the County.
5. Monitors all media for stories and commentaries referencing County business; investigates and develops talking points for the Commissioners based on relevant facts.
6. Prepares for Solicitor review, submits and verifies publication of legal advertising for the County.
7. Maintains and de-conflicts the calendars for each of the Commissioners and the
Director of Administration by arranging, re-arranging as necessary and prioritizing individual schedules.
8. Prepares letters, forms, proposals, purchase orders, agendas, minutes, requisitions, meal/lodging/travel reimbursement requests and related administrative documents.
9. Schedules meeting times/locations and ensures Commissioners/Director of
Administration are provided with agenda, materials and names of attendees.
10. Processes and safeguards confidential/sensitive material. Opens non-confidential mail, routes to addressee; re-directs routine correspondence to appropriate department/action agency.
11. Conducts research and prepares correspondence in response to inquiries or information requests for signature.

WORKING CONDITIONS:
Individual works in elected official governmental office. This position is primarily sedentary; however, walking and/or standing for extended periods may be required. Incumbent must be able to lift items/materials weighing 25 pounds or less.
JOB REQUIREMENTS
- Two years of administrative or secretarial experience required; or completed of a related degree program.
- Proficient in the use of personal computers and must be able to work with word processing, spreadsheets, database and presentation software.
- Must be able to demonstrate skill in using MS Word, Excel and PowerPoint software
- Excellent organizational and communication skills required
- Ability to compose original correspondence using a precise command of grammar, punctuation, spelling and the correct usage of the English language.
- Ability to work independently, use initiative and make substantive decisions responsively
- Ability to consistently multi-task while accurately attending to detail.
- Ability to analyze problems and coordinate solutions.
- Ability to set priorities and meet assigned deadlines under intense pressure.
- Ability to exercise sound judgment and tact in dealing with employees and the general public.
- Ability to maintain confidentiality in any and all office matters.
- Possession of a valid Pennsylvania driver’s license.
- Must submit to and pass a drug screening and background check per County policy.
