Job Summary

Courage to Connect Mental Health Center, LLC is seeking a warm, energetic, well-organized, individual to manage our growing mental health center with practices located in Glenview, Glencoe, Wilmette, and Lake Bluff. We are looking for a strong, positive practice manager to provide organization and leadership to our main location. We are seeking an experienced and organized Practice Manager to oversee the daily operations of our office. The ideal candidate will be responsible for managing office staff, coordinating administrative tasks, and ensuring that the office runs smoothly and efficiently. This role requires strong leadership skills, exceptional organizational abilities, and a proactive approach to problem-solving.

Responsibilities

  • As a Practice Manager, you will lead the main office and front-end administrative duties by creating a lasting impression, building trust and loyalty with patients and staff.
  • Responsible for the practices running smoothly on a daily basis
  • Manage staff for intake, billing, accounting and administrative, operations department including direct reports of 4-6 employees with possible growth
  • Oversee and assist the front office staff including answering phone calls, taking accurate messages, and scheduling new patient intake appointments for all departments.
  • Provide support when patient service recovery is needed or escalated to management.
  • Ensuring proper documentation and demographic information is on file for new and existing patients through monthly department audits.
  • Create and implement departmental policy and procedure manuals for accounting, billing, intake, and front-end office to be easily followed and understood.
  • Subject matter expert on EMR system Theranest; providing knowledge, training on calendars, portals, scheduling appointments for new hires and existing employees.
  • Train and mentor intake coordinator ensuring our patient scheduling processes are executed efficiently and patient service standards are consistently met.
  • Manage intern recruiting efforts, hiring and training
  • Oversee room schedules for all locations ensuring there is adequate staffing each day and rooms are properly utilized
  • Support the onboarding process of new hires, order business supplies and promotional materials, website profiles, and specialties meeting.
  • Manage medical records request process
  • Visit & audit each location 1x Quarterly
  • Manage patient satisfaction and experience processes through survey system
  • Manage google reviews and google adwords including monthly meetings with google consultants to discuss performance and updates to account
  • Create and implement ways to generate new patients for the practice through outreach initiatives
  • Grow referral network by creating new marketing efforts, connecting with potential/current referral sources
  • Engage with existing referral sources to “polish the diamonds” to make them feel appreciated and special.
  • Oversee all newsletter and mailings for practice
  • Plan and organize office events such as service projects, charity drive, etc.
  • Accountable for all front office front-end metrics and reporting.
  • Run Weekly and Monthly Production Reports for CEO & Leadership Team
  • Special Projects Assigned by CEO and ECD.

Skills

  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Proficiency in office management software and tools.
  • Strong leadership qualities with experience in team management.
  • Knowledge of training development practices to enhance staff performance.
  • Minimun 3 years of experience preferred; preferably in healthcare or mental health
  • Exceptional organizational, communication, and analytical skills with the ability to present solutions proactively.
  • Bachelor’s degree Required, Masters preferred
  • This is not a remote or hybrid position
