Position Overview

The Regional Portfolio Manager is the leader of their asset portfolio of properties. The Regional Portfolio Manager is accountable for oversight of all staffing, service, operations and financial management on behalf of the company. This will include all compliance matters as well as safety and regulatory measures being taken. The Regional Portfolio Manager provides guidance and direction to the onsite teams to ensure success through each aspect of management. All federal, state, and local regulations are expected to be followed accordingly.


Key Responsibilities

  • Policy Adherence:
    • Complies with organizational guidelines and procedures, demonstrating ethical, tactful behavior, and integrity.
    • Takes ownership and accountability for decisions and actions.
    • Collaborates effectively with team members.
    • Observes and enforces company values, goals, and the Cove vision statement to KNOW IT, OWN IT and SHOW IT.
  • Communication:
    • Provides professional, honest, and courteous customer service to residents and prospective residents, including phone interaction, email follow ups and general professional communication.
    • Listens attentively and openly to the ideas, suggestions, and concerns of others.
    • Engages in quality assurance for move-in conditions and resident move-outs.
    • Interacts professionally and effectively with various customers (both internal and external) in both routine and non-routine situations.
    • Follow instructions from supervisors.
  • Management Execution:
    • Forms objectives, prioritizes appropriately, manages multiple tasks, and produces work that is comprehensive in scope, complete in detail and accurate in content.
    • Develops sound, timely and practical solutions to daily challenges and unique conflicts.
    • Sets priorities and aligns individual goals with group goals in support of Cove Property Management’s mission, vision, values, culture, and goals.
    • Meets established deadlines and effectively uses work time to achieve goals and objectives, while taking responsibility for decisions and consequences.
    • Demonstrates sufficient competency and understanding of all aspects of the position to perform the functions effectively and safely.
    • Adapts innovative ideas as Cove anticipates and identifies new and/or creative techniques, technologies, learning or processes to improve effectiveness.
    • Delivers an appropriate level of follow-through for problems, consistently meets deadlines, and sees issues to a resolution.
  • Duties and Responsibilities:
    • Manages rent increases and provides detailed guidance to steer managers in a direction aligned with ownership goals.
    • Ensures rents are collected timely. Regularly review delinquency to ensure it is being closely monitored by managers, and collections and suit filings are being done promptly in accordance with company policies and budgetary guidelines.
    • Understands local competition; be able to recommend market pricing accordingly, and features that make your property(s) stand out above the rest.
    • Analyzes, review and approve/reject invoices.
    • Reviews and approval/reject service bids and contract proposals in accordance with budget guidelines.
    • Reviews and approves electronic payroll records and adheres to payroll policies and due dates.
    • Assists in preparation of annual budget and work within the established budget,
    • Inspects property and records deficiencies, taking the necessary action to make repairs, within budgetary allocations.
    • Reviews and guides daily, weekly and monthly reporting, as well as quarterly variance reporting.
    • Hires and trains staff to perform the duties necessary for smooth operation of a portfolio and team.
    • Performs site inspections, recommends areas of improvement to increase gross potential rent and decrease expenses.
    • Audits site petty cash occasionally.
    • Ensures all site members optimize use of technology through training and coaching of all system modules.
    • Recommend changes to improve unit turnover time, service ticket processing time, resident retention, positive marketing improvements, and support team member professional development and retention.
    • If applicable, ensure condominium association management guidelines adhere to open lines of communication with BOD and homeowners.
    • If applicable, attend regular condominium association BOD meetings and ensure meetings are in compliance with Association By-Laws.
    • Perform all other duties as assigned.

Professional Qualifications and Training

  • Professional Development: Must complete upon hire: Fair Housing, Preventing Harassment, and other Core Courses as assigned.


Preferred Qualifications

  • Required, high school diploma or equivalent.
  • Required, bachelor’s degree, CPM® or ARM® designation.
  • A track record of success building, developing, and maintaining high performing teams.
  • Strong financial skills, including experience managing budgets and financial reports.
  • Clear and effective communication skills.
  • Ability to present a positive, professional image.
  • Required, proficiency with Microsoft Outlook, Microsoft Excel, Microsoft Word.
  • Ability to work flexible hours and travel to various work sites within multiple states, such as New Jersey, Virginia, South Carolina and Maryland.
  • Required, valid driver’s license.
  • Yardi software experience is a plus.


Physical Requirements

  • The role requires physical agility for property movement, lifting of up to 25lbs, and the ability to engage in various physical activities necessary for leasing tasks, which includes but is not limited to steps, stairs, climbing, maneuvering around the grounds for tours, sitting for long periods of time, and bending.
