Duties

- Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
- Perform data entry, proofread documents, and ensure accuracy in all clerical tasks
- Support office management activities such as calendar management, scheduling appointments, and coordinating meetings
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
- Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions at all times
Experience
- Previous office experience or administrative experience demonstrating strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with clerical duties such as filing, data entry, proofreading, and document management
- Familiarity with multi-line phone systems, phone etiquette, and customer service best practices
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized office environments
- Strong time management skills to prioritize tasks efficiently in a fast-paced setting
