Position Overview
Critical Frequency Design is seeking an Office Manager who thrives on keeping day-day office operations running smoothly while supporting both the employee experience and the leadership team. In this role, you'll oversee the office environment, coordinate internal and external events, manage supplies and vendors, assist with light HR and accounting tasks, and ensure communication tools and share resources are up to date. The ideal candidate is proactive, highly organized, and thrives in a dynamic and collaborative setting.
Your responsibilities will include, but are not limited to:
- Serve as the first point of contact for visitors and callers, ensuring a professional and welcoming experience.
- Manage incoming and outgoing mail, deliveries, and office communications.
- Maintain a clean, organized, and well-stocked office environment, including common areas, breakroom, and equipment.
- Monitor office supplies and equipment, coordinate with vendors for maintenance, repairs, and service needs, ensuring all purchases are within budget and approved.
- Plan and execute employee engagement activities, company-host conferences, customer visits, and other internal and external events from start to finish.
- Support employees and leadership with administrative needs such as scheduling document organization, travel arrangements, and day-to-day inquiries.
- Manage and reconcile company credit card statements, collect and verify receipts, oversee employee expense reports, and resolve discrepancies in timely manner.
- Assist HR by posting job openings, screening resumes, conducting or scheduling phone interviews, and facilitating employee onboarding, including workspace preparation and orientation.
- Keep shared resources and internal platforms (e.g., event calendars, SharePoint/intranet) current, organized, and easy to access.
- Assist in coordinating social media content by gathering event photos, drafting basic captions, and collaborating with the external marketing team as needed.
- Proactively identify opportunities to improve office processes, implement solutions, and document procedures to ensure consistency and efficiency.
Qualifications
You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates. This position is for a full-time exempt employee and must be able to work regular business hours in-office.
Minimum Qualifications:
- High school diploma
- Proven experience in office management, administrative support, or event coordination.
- Familiarity with basic accounting (e.g., expense reports, credit card reconciliation) and HR support functions.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent interpersonal and communication skills.
Preferred Qualifications:
- Bachelor’s degree in business, organizational management or similar field.
- Proficiency in Microsoft Office Suite and general office equipment.
- Self-motivated, adaptable, and detail oriented.
