Position Overview:
The Executive Assistant is responsible for providing high-level support to the Regional Vice President including heavy email and calendar management, successful coordination of business meetings and staying in contact with all new clients. Exercise independent judgment in the resolution of administrative needs and prioritize and manage multiple projects simultaneously with little or no supervision.
Job Responsibilities:
- Maintain a calendar and contact database, schedule appointments and may arrange meetings and conferences
- Handle a high volume of incoming and outgoing phone and electronic communications
- Complete expense reports and reconcile receipts for a designated work group
- May perform administrative duties such as, conducting research, updating databases, and preparing collateral materials for mass mailings
- Establish and maintain record keeping and filing systems
- Independently create well-organized, grammatically correct memos and emails
- Utilize various software applications such as spreadsheets and relational databases in order to keep the rest of the team informed on clients and loans
Qualifications and Skills:
- High School or equivalent
- Minimum 3 years’ experience in an administrative support role
- Proficiency in Microsoft Office
- Previous banking, financial services, or mortgage experience preferred
- Excellent customer service, written and verbal communication skills
- Ability to work well under pressure and adjust to varying workload
- Must be independent, self-motivated and organized
- Must be high-energy and have a positive attitude
