Office Manager
Position summary: The Office Manager will undertake administrative tasks, ensuring the rest of the departments have adequate support to work efficiently. This position assures the smooth and efficient operation of the school office to provide maximum positive impact on the education of the students. Office Manager to act as receptionist for the school, greeting all visitors courteously, determining their needs, checking appointments and directing or escorting to various locations or staff. The incumbent in this position provides the school community with responsible school administrative assistance, which directly supports student learning, ensures the smooth running of the school’s operation and contributes in driving sustainable growth.
POSITION TASKS
- Positive first face for all visitors on campus. Act as receptionist for the school; greet and receive public, parents, students, vendors, etc. in a courteous manner; monitor all persons entering and exiting the school; direct or escort visitors to various locations or staff members.
- Responsible for managing all visitors on campus; including but not limited to assisting all visitors with checked in and out of the Raptor ID System. Verifying ID’s as needed.
- Management of Information and Management Systems (currently Praxi School and Final Site) including vendor relationship management, staff and parent support, managing online forms and fees (including financial aid)
- Monitoring of cameras across campus and remote doors
- Answering and responding to phone calls, incoming CrossLife Office emails, and visitors in a timely manner.
- Operates the telecommunications system; receive incoming calls; record information as required; transfer calls to appropriate department/staff; respond to inquiries and/or takes messages and distributes to appropriate office/staff.
- Owner of vendor management including but not limited to vetting new vendors and managing current vendors.
- Perform accounting and bookkeeping functions for the school including but not limited to:
- Billing of tuition monthly
- Application of late fees and follow up on non payment,
- Process and bill before and after care charges,
- Manage and process enrollment fees (annually)
- Verifying and logging all transactions into Accounting software.
- Reconcile and balance credit cards and checking account.
- Make deposits at the financial institution.
- Responsible for managing and ordering office, custodial, and school supplies and manage these expenses to a budget.
- Responsible for all things payroll related:
- Process payroll twice a month for all employees including salary and hourly employees
- Process reimbursements and commission as needed
- Process retirement contributions
- Year end payroll processing such as printing W-2s and 1099
- Processing payroll changes
- Tracking all PTO and substitute payroll.
- Manage employees files: new hire paperwork, background checks, logging with the State
- Establish, document and improve business processes
- Assists with all drills and ensures required documentation is kept.
- Receive, sort and distribute incoming and outgoing mail.
- Assist with planning all field trips.
- Assist in classrooms, as needed.
- Additional duties as assigned.

EDUCATION REQUIREMENTS
- High School diploma or equivalent.
EXPERIENCE REQUIREMENTS
- One (1) year of school office experience or two (2) years of responsible clerical experience including public contact. Previous experience and advanced education are highly desirable.
Job Type: Full-time
Pay: $16.00 - $17.00 per hour
Expected hours: 40 per week
