We are looking for an experienced individual to manage all aspects of our residential property.

Summary:

Manage the overall operation of the Bay Vista Residential Association Community to ensure the highest level of owner and resident safety, security, and satisfaction. Responsible for managing the operation, maintenance, and life cycle of all common systems and equipment and ensuring compliance with all relevant City, County, and State regulations and building codes, as well as standards set by the Association. Work closely with the Business Association Manager to ensure proper coverage for the onsite team and service levels to the membership.

Assume responsibility for maintaining the Common Elements of the property (not individual units) while simultaneously maintaining a direct partnership with the residents to ensure the enjoyment of their home today and maximize the value of their investment long term.

Building Overview:

Bay Vista was built in 1982 and is a 73-unit residential high-rise atop five floors of commercial office space. The Association enjoys expansive 6th floor common areas including a large garden deck, a meeting and event space (The Beaumont Room), a Guest suite, on-site manager’s office, an exercise facility, pool, hot tub, saunas, and locker rooms.

The Association enjoys exceptional tenure of residents, staff, and management, owing to its dedication to being an open and caring community within the City. Bay Vista is professionally managed by CWD Group, which works in collaboration with the Board, Facility Manager, Owners, on-site team, and 3rd party contractors.

Salary: $85,000.00- $100,000.00, DOE

Schedule: Monday-Friday, days and as needed for board meetings and emergencies

Duties and Responsibilities:

Organization Development: Develop and maintain appropriate staff organization, job descriptions, and work procedures and practices for 24-7 Front Desk staff, maintenance, and engineering roles, with input and approval from the CWD Group Business Association Manager.

Supervision: In conjunction with the Human Resources Director, interview, hire, train, and supervise the onsite team full and part-time staff members, including administration of job responsibilities, periodic performance evaluations, and wage adjustments.

Contract Management: Collaborate with the Engineer, monitor vendor performance to ensure adherence to contract responsibilities and duties. Approve non-recurring contract work and submit to Business Association Manager for payment. As appropriate, work with the Engineer and/or Business Manager to create Requests for Proposals for service contracts and administer bidding to ensure appropriate price and service levels. Recommend cost-effective alternatives whenever possible.

Building Maintenance: Collaborate with Engineer and maintenance staff to develop and manage service contracts and all activities related to the maintenance and repair of any building issues, interior and exterior. Perform maintenance work as necessary to maintain the building to the highest standard. Ensure Engineer utilizes maintenance matrix as basis for maintenance work in the building.

Front Desk: Ensure that door staff understand and administer fairly all Association rules and regulations to provide residents and guests the highest level of courtesy and professionalism. Maintain the highest concern for the safety and security of the property and residents.

Custodial: Work with Engineer and maintenance staff to establish a program to maintain and service all Common Areas for the property in a neat, clean and professional manner.

Record Keeping: Maintain onsite records to ensure the effective administration of Association programs and policies, including maintaining the security computer system, owner and resident names and telephone numbers and contact and emergency contact information. Administer on-site fee and collection of charges for use of amenities, maintain property supplies and inventory, and assistance with the creation and administration of fire, evacuation, and emergency response plans. Coordinate all activities with the Business Association Manager and forward all billing and procedural issues to the Management Company.

Property Safety and Emergency Preparedness: Collaborate and communicate with CWD Group to develop and implement plans to respond to 24-7-365 coverage for emergencies, and ensure that these are clearly communicated to and understood by all onsite team members, residents, and owners.

Communication with Association Board and Committees: Collaborate with the Board and Committees as needed for the smooth administration of the building. Meet weekly, or as requested with the Board President. Prepare monthly reports of relevant activities, expenses, staff schedules and issues, and on-going work on the property for the Board of Directors in advance of the monthly meeting. Support the President and Treasurer in the creation of agendas, financial statement analysis, minute taking, and maintaining outstanding items list. Attend Board of Directors meetings and report on current projects and concerns and attend Committee meetings upon request. Be available to the Board President or Board Members to provide up-to-date project and building status as requested.

Communications: Communicate effectively and professionally with owners, residents, guests, and vendors to ensure smooth operation in and of the property. Coordinate with the door staff to address padding of elevators and the coordination of remodel projects. Report any issues which require approval of the Business Association Manager or the Board.

Other duties or special projects as assigned.

Qualifications and Abilities:

  • Requires experience in property and/or staff management, experience with association management a plus.
  • A minimum of five-years of residential, high-rise experience.
  • Must be a clear communicator; written, orally, and electronically, and be able to work with a variety of people including owners, residents, the general public, the onsite team, the Business Association Manager, contractors, and service providers in a professional and courteous manner.
  • Must present a professional appearance.
  • Must have experience and the ability to train and supervise the staff and outside contractors.
  • Must be computer literate including using word processing and spreadsheets to communicate with owners, property managers and staff; send and monitor email; familiar with the internet and market research techniques; and the ability to monitor and address issues with building systems and access devices.
  • Must be able to earn and maintain professional certifications and licenses, as required.

Physical and Environmental

  • Must be able to lift to 50lbs and be able to move a dumpster if requested
  • Tasks may require racking leaves or shoveling snow outdoors
  • Able to work around cleaning products
  • Fine manipulation of phone and keyboards

Job Type: Full-time
