What are the responsibilities and job description for the Program Manager - Department of Medicine Academics position at Dartmouth Health?
Provides leadership oversight for all administrative functions necessary to support the delivery of system, administrative operations of the Medical Specialties Service Line, the Department Chair/Executive Vice President of the Medicinal Service Line as well as Administrative Director of the Department. Oversees team of employees and core areas of responsibility to include CME and GME Programs, Faculty recruitment, Morbidity, Mortality, and Improvement (MMI) Conferences and Medical Grand Rounds. Functioning as part of the department leadership team works to establish and maintain Service Level Agreements (SLA’s) in all areas of responsibility and ensures that administrative functions and performance are aligned with the strategic goals of the department.
Responsibilities
- Oversees a team providing centralized administrative support to the department leadership and the 19 sections within the department, in conjunction with Geisel School of Medicine.
- Ensures that all calls and inquiries are handled within established standards of practice, quality guidelines and service expectations.
- Establishes systems and processes to help track the effectiveness of administrative support.
- Supports administrative team with reporting and tracking for Medical Specialty Service Line offer letters, OPPE and FPPE reporting, Geisel faculty appointments, reappointments, terminations, and promotions of Medicine faculty. Working across teams and service lines to facilitate the development of standardized administrative processes and systems to ensure high quality, detail focused work.
- Interviews and supports hiring of new staff including but not limited to, Section Chiefs, Practice Managers, and Vice Chairs. Works with department Chair to help support interview processes which identify, on-board, and retain the best possible candidates.
- Provides regular feedback around performance focused on service quality.
- In collaboration with leadership, takes a lead role in identifying educational and training needs across the Department and Medical Specialties Service Line.
- Reviews, identifies and secures resources required to meet the training needs of the administrative team.
- Develops and oversees processes to ensure that forms and paperwork are handled to meet established standard of service protocols between the Department of Medicine, Medical Specialties Service Line and Geisel School of Medicine.
- Performs other duties as required or assigned.
Qualifications
- Bachelor’s degree or the equivalent in education and experience required.
- Two (2) years of supervisory/management experience required.
- Excellent organization, interpersonal, oral and writing skills required.
- Exemplary leadership qualities.
- The ability to relate and deal effectively with physicians, administrators, support staff, and the general public with a high degree of tact and discretion required.
