What are the responsibilities and job description for the Legal Administrative Assistant position at DAVID WARE & ASSOCIATES?
The Legal Administrative Assistant will provide administrative legal support to designated paralegal staff and possible Associate Attorneys. The individual in this role is expected to interact with people (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Must be able to work Monday through Friday from 8:30am to 5:30pm.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Includes, but not limited to):
- Assist paralegal staff with the preparation of client packages for filing and submittal to appropriate agencies
- Scan and save mail for paralegals daily
- Process receipts and approvals; scan and save to SharePoint, attach cover letters and mail; upload into INSZoom
- Input docket card information into the docketing system every Monday and distribute to the appropriate legal staff member. File docket cards in chronological order (Assigned Staff)
- Complete packets for CIS when requested
- Make copies for legal staff as needed
- Pull files for all appointments as needed
- Make court runs upon request to deliver filings
- Complete special projects as requested (i.e., mailing natz letters)
- Serve as back-up to the Reception Administrative Team (i.e., open office and switch board, answering phones, greet clients, check voicemail, processing mail, take payments, docket cards, giving lunch breaks, and assisting the associate attorneys/paralegals on staff)
- Serve as Paralegal Buddy when needed
- All other duties/projects as assigned by management
MINIMUM EDUCATION & QUALIFICATIONS
- High school diploma or equivalent and a minimum 3 years’ administrative support experience
- Must be fluent in English and Spanish
- Detail oriented and organized
- Excellent Customer Service Skills
- Must be able to multi-task
- Proficiency in Microsoft Word, Excel, and Outlook, and ability to learn immigration law practice software.

- Respect for others and sensitivity to the needs and legal issues affecting people of diverse cultural backgrounds.
PHYSICAL REQUIREMENTS
- Physical Activity Level: Sedentary physical activity performing non-strenuous daily activities of an administrative nature.
- Physical Demands: Able to lift, carry pull, or move objects up to 30lbs in weight. Substantial movements (motion) of the wrist, hands, and/or fingers in a repetitive manner
