This is an exciting opportunity to work for one of the top law firms in the U.S.! Davis Wright Tremaine LLP is looking for a Records Analyst to join our team in our Portland office.
The primary responsibilities for the Records Analyst position is to provide services, support and maintenance of firm and client records throughout the records lifecycle. As part of the firm’s Information Governance department, primary responsibilities consist of preparing and printing folder labels, pulling and delivering files, and preparing files for off-site storage. This position will be required to come into the office 5 days per week, from 8:30 am – 5 pm.

On a typical day you will:
- Create folder records in the firm’s records management system following all quality check guidelines; includes preparing and printing labels, affixing labels to folders, and circulating and delivering new folders and/or labels to the requestor
- Pull files from shelves and boxes, including checking out and hand delivering
- Order boxes from off-site storage
- Check in, reshelve or rebox folders
- Maintain Records Center including, but not limited to, misfiles, shifting and archiving
- Manage and assist legal and administrative staff with file archiving and sending files to off-site storage as needed
- Ensure accurate inventory for all shelved and archived folders
- Perform periodic electronic scan to update the circulation history in the records management system
- Provide basic document interfiling support
- Provide shredding support and services, including ensuring consoles are serviced regularly (or as requested), preparing materials for shredding vendor pickups and other shredding-related services
- Coordinate with off-site storage facility to order and review files for disposition; track and maintain disposition documentation
- Gather and perform review of files leaving the firm
- Validate inventory of inbound files and assist with entry to the records management system
- Assist with other administrative tasks; perform other records job responsibilities as assigned and needed
Join us if you have:
- 2 years’ experience office experience; experience in a professional services firm a plus
- Basic knowledge of legal records retention policies and practices
- Demonstrated ability to use records management software or ability to learn quickly
- High School graduate or GED equivalent required; college degree preferred
- Knowledge of Microsoft Office software and experience working with various records preferred
- Ability to handle moderately stressful situations in a calm, composed manner
- Attention to detail and quality control
- Customer service, analysis, troubleshooting, problem-solving and follow-up skills
- Time management skills
- Communication skills, both verbal and written, within all levels of a professional services organization, including interpersonal skills
