POSITION TITLE: Bookkeeper
REPORTS TO: Sr. Staff Accountant (directly) and Executive Director (indirectly)
Assists the Sr. Staff Accountant and Executive Director in the implementation of the annual budget. Assists the Sr. Staff Accountant in accounts payable, accounts receivable, payroll, and contract compliance on all agency grant contracts.
RELATIONSHIPS: Interrelates with all agency staff. May interrelate with Administrative Volunteers and/or Interns. May interrelate with the Board Treasurer.
PRIMARY FUNCTIONS:
- Pay bills and record income and expenditures in a timely fashion.
- Support the Sr. Staff Accountant in collecting payroll data. Calculates and runs bi-weekly payroll, creates ACH deposits, and prepares payroll tax reporting.
- Maintain petty cash records and gift card inventory.
- Prepare monthly reimbursement requests and annual reports for submission to funding agencies in a timely fashion.
- Assist in maintenance of administrative and financial files.
- Assist Sr. Staff Accountant in preparing the agency annual operating budget and individual grant budgets.
- May assist in the fiscal portion of funding proposals and subsequent assurance that funds are spent according to outcomes expected by the funder.
- May work with the Finance Committee of the Board of Directors and the Board Treasurer.
- Assist in maintenance of computer operations and off-site back-up of information with IT vendor.
- Respond to all funder and ED requests promptly.
- Handle crisis situations within the agency in a calm and efficient manner.
- Assist in preparing annual audit work papers for the agency’s CPA firm.
- Acts as the back-up designated Risk Management Coordinator.
- Acts as the back-up Data Security Officer for the organization.
SECONDARY FUNCTIONS:
- Other duties as assigned by the Sr. Staff Accountant or Executive Director.
PROHIBITED FUNCTIONS:
- Does not provide any direct participant services.
- Does not respond to requests from the media.
QUALIFICATIONS AND SKILLS:
- High School Diploma or equivalent required.
- Minimum of two (2) years of experience in a responsible position involving accounting, finance, and/or administration/contract management preferred.
- Able to interact in a professional manner with other staff members, agencies, funders, and vendors.
- Must be computer literate in Microsoft Office Suite.
- Must be willing and able to become literate in QuickBooks if not an existing skill.
- Must pass Level II background screening.
- Must possess valid Florida driver’s license.
- Must be able to work with a culturally diverse community with sensitivity and professionalism.
