Job Summary:
Day By Day Nursing Services is seeking a reliable and detail-oriented Part-Time/Full-Time Administrative Assistant to support our in-office operations. This role is ideal for someone who enjoys structured administrative work, thrives in an office setting, and is passionate about supporting a home care organization committed to high-quality client and caregiver services.
The Administrative Assistant plays a key role in maintaining organized records, supporting billing and scheduling processes, and ensuring smooth day-to-day office operations.
Key Responsibilities:
- Manage the coordination of all incoming and outgoing clientele, offering a professional greeting and providing assistance with any inquiries or concerns they may present.
- Provide in-office administrative support, including managing paperwork, organizing files, and maintaining office supplies to ensure efficiency and organization. This encompasses prioritizing and resolving issues.
- Planning and implementing special occasions such as holiday and summer gatherings.
- Maintain accurate, up-to-date client and employee files, including care plans, emergency contacts, and personal information. This includes profile creation, data entry for care plans, emergency contacts, and personal information, ensuring all records are accurate and current.
- Organize and manage physical and digital records in compliance with company and regulatory standards.
- Key responsibilities include managing client invoices, aiding in billing rate renewals, and reviewing new client rates.
- Assist recruitment process for new staff including the development and oversight of orientation.
- Participate in staff training and development.
- Update client and caregiver profiles to reflect changes in care needs, contact information, and billing details.
- Order new employee ID badges and process updates or replacements as needed.
- Helps build and maintain a culture where everyone is always looking for ways to get better.
- Maintains a working knowledge of all support staff responsibilities and provides coverage as needed.
Required:
- High school graduate or equivalent
- At least three years of relevant experience with a proven track record of increasing responsibility; healthcare experience preferred.
- Communicate clearly, concisely, and professionally, both verbally (in person and on the phone) and in writing.
- Demonstrate strong active listening skills.
- Manage sensitive situations with discretion and maintain confidentiality.
- Provide timely, effective, and constructive feedback on staff performance.
- Show sensitivity and empathy, especially when working in an emotionally challenging environment.
- Thrive and perform effectively in a high-pressure, deadline-oriented, and complex healthcare setting.
- Prioritize work assignments and adjust tasks as necessary to meet evolving needs.
- Identify, triage, and resolve issues promptly and appropriately.
- Collect and analyze data to track performance and service metrics.
