Job Purpose:
IT – responsible to support technology services of the office (IT Infrastructure, systems and support) to achieve quality and control in governance and process standardization.
Facilities – responsible for overseeing maintenance, security and overall functionality of the office.
Administrative – Efficient management of office administrative services, including business support, office services, printing, mailing, and service provider in accordance to established guideline.
Key Accountabilities
- Execution of technology initiatives with Group counterparts, ensuring that the projects are delivered to meet the required technical standards and business objectives, as well as operational success criteria
- Ensure minimum disruption for the Branch’s Day to day use of end user services
- Manage onboarding and ongoing service levels and governance of technology service providers
- Oversee all equipment maintenance activities, ensure compliance with health, safety and building regulations, vendor and contract management
- Oversee administrative support function of the office and ensure that the office operate smoothly and efficiently
Job Duties & responsibilities
Technology:
Responsible for server room, all equipment therein, upkeep, monitoring, upgrades, maintenance.
Partner various Technology teams at Head Office to ensure smooth operations of office IT Infrastructure and compliance with Bank Standard.
Perform hardware / software upgrades and installations to equipment provided to branch staff and coordinate implementation of new applications if necessary.
Co-ordinate vendor hardware / software (where applicable) upgrades & installations,
Setup / configure new users as per agreed specifications / roles with the most suitable equipment to undertake their roles. Decommission users when they leave, Co-ordinate and manage all equipment / system changes, ensure all equipment / systems always comply with the banks standards.
Inventory management, procurement and decommission of all equipment in a timely manner as per set standards
Report technology, risk and control metrics to unit and country IT heads to support accountability in operations and project work, including oversight of risks and controls posture and the analysis of operational trends in the location
User support on day-to-day problem relating to notebook and cellphone, IPad and help coordinate with SG support team
Responsible for office security in accordance with Bank’s standard such as review of accesses, monitoring of CCTV, recording retention etc.
Manage and oversee all IT related contracts, including outsourced technology services, contract maintenance, service level monitoring and other due diligence activities.
Co-ordinate Bank wide IT DRP activities.
Facilities & Administration:
Responsible for the branch’s facilities management and reception functions – including the Professional services company offering these services
Oversight over the reception desk, hospitality, guest interface and experience, including visitor registration, handling of incoming fax, incoming/outgoing mail & courier service, screening incoming calls and distributing messages to appropriate team members
Responsible for all aspects of branch facilities e.g. – day 2-day upkeep, inventory management,
contracts management, vendor liaison, health n safety standards, landlord liaison,
Responsible for branch-wide archiving, office supplies, telephony, confidential shredding
Manage the organization’s office and storage space. Perform as liaison with varies vendors, providing maintenance, security, and other occupancy services and timely payment of invoices
Oversee payment by credit card handle by admin, including weekly and monthly reconciliation
Oversee building emergency learning for existing and new staff including annual refresh
Designated Service Delivery Manager for IT & Admin related outsourcing contracts, with responsibility to fulfil outsourcing guidelines
Experience
Bachelor’s degree in computer science/information technology.
5-10 years of equivalent experience in technology-related experience as well as office
administration.
Good understanding of general Banking Operations
Experienced in branch Technology requirements, managing a server room, LAN management,
Information Security
Risk management knowledge
Should possess sufficient stature and empowerment
Good communication skills with all levels of bank staff
Organized, able to multi-task and manage a team of individuals with diverse skill sets
Excel spreadsheet experience
Extensive hands-on knowledge of MS Windows systems, information systems architectures across a variety of implementations manufacturers, and architectures including router/switches would be an advantage
Strong technical hands-on operational experience in desktop support.
