Job Summary
The administrative assistant provides support to the treatment director on a daily basis. They also serve as the first point of contact for people who are calling or stopping by the building during the business week.
Essential Job Duties/Responsibilities:

- Prepares reports, spreadsheets, PowerPoints, training materials and other documents
- Communicates important information in a detailed, organized and professional manner
- Ensures meeting spaces are neat and equipped with needed technology and materials
- Schedules client appointments for the mental health team
- Provides information and applications to prospective therapy dog handlers
- Sees that handlers are taking care of the therapy dog’s feeding, exercise and grooming needs
- Manages and trains the client dog handler group under the guidance of the treatment director
- Reports supply, grooming and veterinary care needs to the office manager
- Answers and directs incoming phone calls
- Monitors the front door and assists visitors to the building in accordance with set procedures
- Organizes incoming mail/packages daily and distributes staff mail
- Copies, scans, faxes and does data entry
- Inventories office supplies and notifies office manager of needed items
- Maintains an orderly lobby and copy room

Required Skills & Experience (Minimum Qualifications):
- Two or more years of administrative assistant experience preferred
- Friendly and welcoming with the ability to maintain strong boundaries and be assertive
- Ability to communicate effectively with all types of people
- Proficient in typing, documentation preparation, computers and Microsoft Office applications
- Ability to handle frequent interruptions and multiple concurrent tasks
- Possess sound judgment, critical thinking skills and the ability to apply set procedures to a variety of situations in order to make sound decisions
- Detail-oriented, organized, self-directed and able to anticipate needs
- Ability to successfully complete background check process
- Ability to model a lifestyle that is in compliance with MnTC’s Code of Conduct
