What are the responsibilities and job description for the Parts Expeditor position at Del-Air Heating & Air Con?
Primary Responsibilities: Coordinates with technicians, customers, and supply houses in the acquisition and installation of parts and handles all warranty claims.
Specific Duties & Tasks:
- Daily auditing of all incompletes for all Service Professionals.
- Collaborate with Dispatchers to ensure Service Professionals are following incomplete protocol and to schedule installation of parts.
- Accurate and timely completion of Purchase Orders -including PO Management beginning to end and other paperwork pertaining to parts purchasing.
- Orders parts from suppliers and follows up on orders to ensure schedule can be met.
- Timely scheduling of completion [of incomplete] with builders/customers as PO’s are received.
- Processes manufacturer requested forms as needed for gratis parts and equipment.
- Process warranty claims for parts and equipment and coordinates returns and follow up on claims to ensure proper credits are received.
- Order truck stock replenishment per technician requests.
- Quote installation prices to customers, obtain approval and PO/EPO.
- Maintain accurate computer records (every interaction, every time) pertaining to parts.
- Coordinate distribution of parts and supplies to technicians.
- Periodic reporting of incompletes by tech by location.
- Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.
- Responsible for special projects as requested by management and other duties/ responsibilities as assigned to meet the ongoing needs of the organization.
- Ensure compliance with all Del-Air policies and procedures.

Qualifications:
- High school diploma or equivalent required. Any combination of education, training and experience that demonstrates the ability to perform the duties of the position may be considered.
- One year of administrative experience.
- One year of experience with answering phone calls or in customer service-related position
- Computer literate with expert knowledge in MS Office Suite – Word, Excel, PowerPoint; working knowledge of all office equipment.
- Eligible to legally work in the United States.
- Be at least 18 years of age.
- Ability to speak Spanish, preferred but not required.
- Successfully complete a background check and drug screen.
- Ability to thrive in a team environment.
