Job Description
The Observation Coordinator will use excellent verbal skills, body language and props to communicate that orthodontics is about taking care of people. The Observation Coordinator will represent the excellent care and quality environment that their doctor and staff provide. The Observation Coordinator’s purpose is to create a fun, exciting, nurturing environment that the patients will truly enjoy. It may be required for this team member to be X-ray certified.
Position Standards
- The Observation Coordinator will see all OBS 1 & 3 patients.
- Explain treatment, answer questions, assist with insurance (when needed), schedule appointments, communicate with specialists, and use a team approach with the Orthodontist.
- M. Review: The Observation Coordinator reviews, at the Morning Meeting, all information regarding his/her column.
- Treatment Presentation: The Observation Coordinator will review, in layman terms, the doctor’s treatment plan and go over financials if needed.
- Appointments: The Observation Coordinator will schedule all patients back with the appropriate appointments. This is our “savings account”. They will be responsible for making sure that all patients have a future appointment and will assist the scheduling coordinator if they need help calling patients.
- Statuses: The Observation Coordinator will ensure that every OBS 1 & 3 patient are in the correct status and will update the status if necessary.
- Smile Squad: The Observation Coordinator is responsible for enrolling and ensuring that each OBS’s patient is enrolled in the Smile Squad. This includes making sure that each patient receives the same experience, receives prizes, and the VIP card.
