We're seeking a Medical Office Manager to oversee daily operations at our Tucson location. Position Overview
You’ll be responsible for leading and managing the administrative and operational performance of the Tucson office. From staff supervision and scheduling to inventory oversight and patient satisfaction, you'll ensure smooth day-to-day function and long-term success.
Key Responsibilities
Leadership & Staff Management
- Directly supervise and support clinical and non-clinical staff
- Assist with recruiting, hiring, training, and performance evaluations
- Maintain positive team morale and enforce HR policies
- Manage PTO calendars, lunch/break compliance, and overtime monitoring
Practice Operations
- Ensure the office is adequately staffed to support providers and patient flow
- Monitor provider schedules for optimization and accuracy
- Reconcile daily patient payments and maintain petty cash logs
- Collaborate with billing and A/P departments to ensure accurate financial records
- Maintain compliance with HIPAA and regulatory guidelines
Patient & Provider Support
- Serve as the first point of contact for escalated patient concerns
- Act as liaison between the clinic, providers, insurers, and vendors
- Ensure excellent customer service and a professional office atmosphere
- Coordinate repairs, facility maintenance, and equipment management
Clinical & Cosmetic Services Support
- Assist in managing inventory for injectables, skincare products, and supplies
- Support marketing and event planning for seminars and practice promotions
- Maintain current knowledge of procedures, lasers, injectables, and skin care lines.
Qualifications
Education & Experience
- 3 years in a medical office management role (dermatology or aesthetics preferred)
- Associate’s Degree required; Bachelor’s Degree preferred
- Solid understanding of both medical dermatology and cosmetic/aesthetic procedures
Skills & Competencies
- Knowledge of CPT/ICD-10 coding and medical billing workflows
- Strong leadership, communication, and conflict resolution skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Familiarity with EMR and practice management systems
- Strong organizational and analytical thinking abilities
- Ability to thrive in a busy, patient-focused environment

Work Schedule
- Full-time, in-office position
