Job Title:
Business Office Manager (BOM) – Skilled Nursing Facility
Reports To:
Administrator / Executive Director
Job Summary:
The Business Office Manager is responsible for managing all business office functions of the skilled nursing facility. This includes oversight of resident billing, accounts receivable, accounts payable, payroll, financial reporting, and maintaining compliance with regulatory and company standards. The BOM ensures efficient business operations while providing excellent customer service to residents, families, and staff.
Key Responsibilities:
Financial & Billing Management
Oversee resident billing, collections, and accounts receivable functions.
Manage Medicaid, Medicare, private insurance, and private pay billing processes.
Ensure accurate resident trust fund management and reconciliation per state and federal regulations.
Prepare and submit monthly financial reports to corporate or facility leadership.
Oversee accounts payable processes, including invoice coding, approvals, and payments.
Admissions & Financial Counseling
Collaborate with admissions and social services teams to verify insurance coverage and financial eligibility.
Assist residents and families with financial inquiries, Medicaid applications, and payment arrangements.
Regulatory Compliance & Audits
Maintain compliance with state, federal, and company policies related to business office operations.
Prepare for and assist during audits, surveys, and inspections.
Team Leadership & Collaboration
Supervise business office staff, providing training, performance feedback, and support.
Work closely with the Administrator and interdisciplinary team to support facility goals.
Customer Service
Provide professional and courteous service to residents, families, staff, and vendors.
Address and resolve billing concerns and disputes promptly.
Qualifications:
High school diploma or equivalent required; Associate or Bachelor’s degree in Accounting, Business, or related field preferred.
2–3 years of experience in long-term care or healthcare business office management required.
Strong knowledge of Medicaid, Medicare, insurance billing, and reimbursement processes.
Proficiency in accounting software and Microsoft Office Suite.
Excellent organizational, leadership, and communication skills.
Ability to manage multiple priorities and meet deadlines.
