Essential Functions:
- Maintain account information and budgets for all 100 student clubs/organizations reconciling all deposits, revenue streams, and expenditures utilizing approved college systems and outside online platforms. Process invoices, reimbursements, payment vouchers, contracts, internal requisitions, tax information, and other financial actions. Responsible for all functions associated with 16 credit cards including security, distribution, receipts, and monthly reconciliation.
- Interact regularly with members of the Student Senate Executive Committee particularly the Finance officers and Senate President. Hold weekly meetings with Senate Finance officers, Sport Club Council (SCC) President and Treasurer, and MOB Treasurer. Communicate with club and organization officers in person or by email, responding to inquiries regarding club budgets, account balances, spending, and deposit procedures. Field questions about potential new clubs and train club treasurers daily in club operations and finance procedures.
- Advise Senate officers to manage the Student Activities Fee and with development of the $500K Senate budget. Assist with the Senate-funded clubs, Sports Clubs and media clubs budgeting process.
- Perform office management duties, including phone inquiries, ordering supplies, copier maintenance, work orders, daily email, and organization of the Senate office suite.
- Perform audit of Student Senate expenses each semester; periodically assist with committee work and special projects pertaining to Senate Finance process. Keep inventory lists for all clubs and organizations. Gatekeeper for all Senate minutes and resolutions, and items for historical purposes. Interface with various Dickinson departments and outside vendors for questions and problem-solving.
High School Diploma or GED
Preferred:
Bachelor’s Degree
2- 4 years of past experience working as a bookkeeper or in a related banking capacity would be acceptable
