This role will be located at Makena Golf and Beach Club, set on Maui, HIMakena is seeking a HOA Coordinator to join the HOA Department.
The HOA Coordinator be responsible for overseeing the general property management services through frequent home inspections such as housekeeping, maintenance, grocery shopping, laundry, package delivery and any other items as requested. In this role, you will be part of creating the Discovery Land Company experience for our members and fellow employees.
Responsibilities
Provide exceptional service and communication at all times with members/guests, and team members.
Work with HOA Technicians and Maintenance Manager to schedule projects and repairs.
Maintain and update Property Owners Association Records
Code and process third-party invoices to Managing Agent
Facilitate work orders and correspondence with common area landscape
Assist with electronic correspondence to membership
Manage the delivery of packages to members' homes as needed.
Assist third party vendors as needed for access to property
Assist with Design Review applications & correspondence as needed
Assist with compliance of Governing Documents through on-site inspections
Execute requests promptly and with a professional demeanor.
Assist HOA Directors as needed.
Coordinate with or assist other departments as needed.
Other duties as assigned.
Qualifications
Demonstrates respect for and appreciation of Hawaiian values, history and culture, understanding its implication in one's work, in fostering meaningful relationships, and in embracing the community served.
Prior experience and proven success in an office administrative role, concierge and/or member services.
Positive attitude, professional demeanor, and exceptional communication and interpersonal skills to deliver service to members, guests, and team members
Ability to operate computer and communication platforms in Microsoft Office (Word, Excel, PowerPoint, etc.) and other related applications.
Ability to work in a team environment
Ability to stay calm and focused during the busiest of times
Ability to work a flexible schedule, including evenings, weekends, holidays and a shift greater than eight (8) hours in length
Ability to read, write, speak, and understand English; additional languages preferred
Ability to meet the physical demands of the position including, but not limited to, working indoors and outdoors, standing, walking, and moving for periods of greater than four (4) hours, and lifting, carrying, bending, stooping, squatting, reaching, pushing and pulling items greater than (50) pounds.
