We are seeking a highly organized and proactive individual to serve as the Executive Assistant to the COO. This role requires exceptional multitasking abilities, attention to detail, and the capability to work effectively in a fast-paced environment.

Responsibilities include but are not limited to:
- Manage confidential information with utmost discretion and professionalism.
- Provide comprehensive administrative support to the company, including light accounting, calendar management, scheduling meetings, arranging travel logistics, assisting with subcontractor interaction, project administration (via AutoDesk Construction Cloud), contract management, loan documents, etc.
- Assist in the preparation of reports, presentations, and other documents for both the COO and construction projects.
- Coordinate and prioritize tasks to ensure timely completion of projects and deadlines.
- Facilitate communication and collaboration between the COO and various departments (Real Estate, Finance, Design & Construction, Operations), ensuring alignment of goals and priorities.
- Assist in organizing and coordinating special events, meetings, and company functions as needed.
- Conduct research and gather information to support decision-making processes for both the COO and company initiatives.
- Handle ad-hoc requests and other duties as assigned to support the overall efficiency and success of the COO and the various departments.
Requirements:
- Bachelor's degree, or equivalent experience, in Business Administration, Construction Management, or related field preferred.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to meet changing priorities and deadlines.
- Proven experience as a senior level executive assistant or similar role, preferably in a construction, real estate or finance industry.
- Excellent communication skills, both written and verbal, with the ability to interact professionally at all levels.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Proactive problem-solving skills and a proactive approach to addressing challenges.
- Strong attention to detail and accuracy in all tasks.
- A collaborative mindset with the ability to work effectively in a team environment.
- Previous experience in the construction industry or familiarity with construction terminology is a plus.
