Job Details:
Focuses on the individual needs of each customer in a manner that promotes long-term relationships. Responsible for aspects of mail flow as it pertains to inbound and outbound mail programs. . Maintains files and records of mail activity. Supports Dock and Copy Center area as needed.
- Oversees the process of weekly “addition/ adjustment” payroll to stores, distribution centers and corporate semi-monthly payroll runs for accuracy and to ensure checks are handled in a confidential manner.
- Accurate and timely distribution of checks.
- Attending weekly Store Mail Committee meetings, submitting approved files to the FTP site for production by vendor, monitors site at the designated time to ensure sweeps are made by vendor.
- Directly supervises the daily activities of the mailroom staff to assure a smooth workflow by monitoring work throughout the business day. Monitors incoming shipments such as supplies, merchandise, private courier deliveries within the established time frames. Assigns and review the progress and accuracy of assigned work. Conducts performance evaluation.
- Supervises and responsible for signing audit counts of processed checks with Accounts Payable Department mailing of over 10 billion dollars in checks annually.
- Acts as liaison for customers by providing information, responding to inquiries, and providing the environment necessary to maintain and enhance customer relationships.
- Maintains and updates training procedures for mailroom.
- Develops, communicates with postal service on mail service and monitors postal services changes.
- Working knowledge of mailroom systems, including hardware and software.
- Input accurate data for daily, weekly, and monthly reporting requirements for budgeting statistics.
- Processes mailroom invoices for payment as needed.
- Monitor inventory of supplies (Mailroom and Service Centers) and orders supplies when ended.
- Organizes mailing and distribution of special mailings.
- Trains clerks on mailroom security and safety.
- Knowledge of or ability to learn, Office Suite 2000, Excel, Word, Outlook, Access, etc.
- Knowledge of, or ability to learn, departmental procedures.
- Uses professional communication skills when dealing with customers. Respond to customers in a pleasant, eager manner, anticipating their needs, and referring them to the proper source when necessary.
- Performs tasks accurately and according to schedule and set protocol.
- Performs duties as part of a team and willingly assists in any area as requested.
- Follows directions or acts on own initiative, as required.
- Compose routine correspondence, maintains accurate documentation.
- Respects and insures confidentiality of information.
- Maintains adequate supplies to insure efficient daily operations of the department.
- Possesses organizational skills and the ability to improve processes on a continual basis.

- High School diploma or equivalent.
- Minimum of two (2) years supervisor experience.
Salary : $26,700 - $33,800
