JOB STATUS: Part-time, 120 hours maximum/per semester

LOCATION: Negotiable, however strong preference will be given to candidates that are able to work in a hybrid (on-campus and remote) format.

PRIMARY PURPOSE/ POSITION SUMMARY:
The Records Management/Information Governance Intern (RM/IG Intern) reports directly to the Chief Information Officer (CIO) to inventory and analyze paper and digital assets across the university, recommending retention polices and other best practices as applicable. Further, the RM/IG intern will assess and recommend modifications to business processes for information retention, protection, handling, and access of information in all departments throughout the university. As applicable, the RM/IG intern will guide departments through the paper‐to‐digital file‐conversion and management process by leveraging digital workflow capabilities of various systems to define and mirror business workflow and process management. Additionally, the RM/IG intern will assist the IT department with marketing and education initiatives related to information security and governance.
This is a paid internship, compensated at $15 per hour with a maximum of twenty (20) hours per week of work. Additionally, this position includes a one-course (1) waiver in the School of Information Studies for each fully completed internship semester. This internship also provides up to $500 of pre-approved, internship-applicable professional development for opportunities such as, but not limited to: RM/IG specific organization memberships, test prep courses, or conference attendance.

JOB COMPONENTS/PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Conduct records inventories for university departments/units and recommend retention periods and policies to the CIO.
- Consult with and make recommendations to departments/units by analyzing and designing/re‐designing business processes and workflows to determine what RM/IG technologies will best suit their needs throughout the entire life cycle.
- Assist with the implementation and maintenance of Softdocs™ across the university, including onboarding to the system, scanning physical records, and other system-related tasks.
- Coordinate with Information Technology and other applicable units to implement RM/IG practices in accordance with processes and workflows.
- Provide a level of governance for the organization’s electronic resources by determining and advocating rules, best practices and standards that protect the integrity, usefulness and recoverability of resources.
- Assist the IT department with educational and marketing initiatives related to information governance and security.
- Other duties as assigned.
QUALIFICATIONS:
All qualifications are required unless otherwise stated.
Education and Experience
- Strong preference will be given to candidates who successfully completed LIS 886: Records and Information Management.
- Current graduate student in the School of Information Studies.
- Proven experience with basic technologies such as Microsoft 365, Adobe Acrobat, Zoom, scanning, and operating systems.
Language Ability
- Ability to communicate effectively and appropriately with faculty and staff both orally and in writing.
- Interpersonal skills and abilities to sufficiently deal with faculty and staff in a wide variety of records management/information governance situations.
Reasoning Ability
- Relies on experience and judgment to plan and accomplish goals.
- Ability to prioritize and manage multiple projects.
- Excellent communication skills, both oral and written.
