What are the responsibilities and job description for the Club Data & Quality Manager position at Don Moyer Boys & Girls Club?

The Data and Quality Manager (“DQM”) oversees and manages the data collection and entry processes alongside the Chief Operating Officer to ensure accuracy and quality of processes and programs. The DQM works with Site Leadership and Front Desk Clerks to assure sites are meeting requirements and expectations for completion of daily attendance records and reporting, and to assess program quality in relation to grant deliverables and outcomes. The DQM reports to the Chief Operation Officer and serves as the COO's assistant.  This is a full time, hourly position with excellent benefits. Regular hours are 9:00am-6:00pm.
 
Data Collection and Database Management (Salesforce Platform)
  • Support Program Directors with staff training and corrective action on data collection processes
  • Supports with development and expansion of MyClubHub (salesforce) functionality and capabilities to support daily program operations
  • Design and implement plans to gather and accurately record and report all data in a timely manner
  • Serve as program database manager, ensuring the database accurately reflects DMBGC program offerings and associated registrations
  • Through training opportunities educate program staff on the importance of data collection, methods for collecting data, and their role(s) in the process
  • Enters data into program and member databases (MyClubhub, Ecornerstone, E-Cimpact, etc.) and runs reports as necessary or as directed
 
Program Quality and Analysis
  • Develop and Support annual program planning process to ensure site goals and operations are aligned with organizational goals and operations at all times.
  • Review organizational and site plans (Strategic Plan, Site Annual Plan) in relation to data collection and management and work with Chief Operating Officer and Site Leadership to implement changes necessary to support funding and DMBGC goals
  • Design program assessment tools to measure success of programs through the lens of members, their families, and staff
  • Use data collected to analyze program quality and enhance programs
  • Analyze data for trends in attendance and programmatic selection and work with Program Leadership Team to identify opportunities or solutions
  • Review Incident Reports to identify safety trends and make recommendations for implementation of best practices in Club Safety
  • Oversee Transportation and Fleet Management processes to ensure that daily trips are documented and van maintenance schedules are adhered to
 
Member Services
  • Supervise Front Desk Clerks to ensure data processes and daily desk operations are executed consistently and accurately
  • Coordinate the Front Desk Clerks' daily communication with parents following program absence and membership freezes
  • Coordinates member registration process, and reviews member attendance records monthly to update the database based off of unsatisfactory attendance
  • Coordinates communication with schools within service area to provide report card releases and request updated information
  • Coordinate communication with parents regarding registration process
 
Assistant to COO 
  • Executive daily tasks assigned by the COO, to support with daily operations 
  • Manage completion and signature process for service contacts 
  • Track grant deadlines, assist in report preparation, and submit financial and program reports
  • Provide information for annual reports and submit necessary documentation
  • Manage calendars, prepare agendas, and distribute materials needed to successful execution on meetings, events, and trainings
  • Assist programming team as needed in daily program operations
  • Support with purchasing needs for daily operations ensuring that all purchases receive appropriate approval and receipts are documented
 
Additional Responsibilities
  • May be required to directly lead programming
  • May be required to work evenings or weekends to support special events and programming
  • Other duties as assigned
 
Qualifications
  • Bachelor’s Degree in a relevant field (data analytics, accounting, economics, business, psychology, statistics, or a closely-related area) preferred
  • Two or more years of experience in a youth development organization or one or more years professional experience in data collection and/or analysis
  • Ability to work flexible schedule based upon program/organizational needs
  • Group leadership skills, including an understanding of group dynamics
  • Valid Driver’s License and be approved by the Club's auto insurance provider
  • Strong group and individual communication skills, both written and verbal
  • Familiarity with reading and interpreting grant deliverables or requirements
  • Familiarity with Salesforce Platform
