Overview:
The Administrative Assistant is a full-time employee that oversees administrative support of Doors to Freedom to maintain efficiency of the organization. The Administrative Assistant works closely with the Executive Director and
Operations Director, as appropriate, to ensure the understanding of Doors to Freedom as it relates to the administrative duties of Doors to Freedom. The Administrative Assistant is supervised by the Executive Director.
Responsibilities:
Development of Staff:
● Provides updates to staff on training opportunities for annual Continuing Education.
● Oversees and coordinates the onboarding process for employees and volunteers.
● Remains up to date on current administrative and human resource practices and ensures those practices align with Doors to Freedom’s Policies and Procedures.
● Helps to maintain employee retention and satisfaction by monitoring birthdays, anniversaries, etc.; and coordination of celebrations.
Additional Responsibilities:
● Screens and directs correspondence to appropriate staff.
● Assistant to the Executive Director and Operations Director for administrative office tasks and projects.
● Maintains personnel files ensuring they are up to date and in compliance with contractual and accreditation requirements.
● Oversees the management of the Employee Form Checklist - [POS01] and ensures it is up-to-date.
● Oversees the management of Resident’s Record of Performance Based Outcomes - [PRG19] and ensures it is current.
● Maintains sensitivity to residents’ socioeconomic and cultural background.
● Assists the Executive Director with the maintenance of financial bookkeeping through inputting expenses and income, and coordinates timesheets.
● Assists the Executive Director in maintaining grant compliance, as needed.
● Aside from the Administrative Assistant duties listed above, the Administrative Assistant is also responsible for fulfilling residential duties, as needed.
● Participates in Doors to Freedom’s Inclement Weather and Disaster Plan and follows assignments provided by the Executive Director or Operations Director.
● Fulfills other duties as assigned by Executive Director or Operations Director.
Qualifications:
Experience:
● Strongly Preferred: Bachelor’s degree in a similar or related area of study and one year of experience in administrative duties with a non-profit organization and/or a closely related field.
● Required: Associate’s degree in Administrative Assisting or other related area of study and one year of experience in administrative duties, and/or a closely related field; or a highschool diploma/GED and five years experience in administrative duties, and/or a closely related field.
Training:
● Thorough understanding of, dedication to, and implementation of the mission and core values of Doors to Freedom.
● Must complete Doors to Freedom’s onboarding process.
● Must complete 14 approved continuing education hours annually.
● Must maintain certification in Cardiopulmonary Resuscitation and First Aid.
● Must maintain certification in Crisis Prevention Intervention.
● Must complete the following annually: Blood Borne Pathogens Training, and Suicide Screener Training Video Instructions and Questionnaire [TRN10] for training in the use of the Columbia Suicide Severity Rating Scale.
