Job Description:
- PURPOSE OF JOB:
Responsible for greeting, scheduling and checking in patients. Provides clerical support to ensure smooth office operations.
- ESSENTIAL FUNCTIONS:
1. Schedule patients for office visits
2. Meet and greet patients
3. Answer telephone
4. Scanning
5. Data entry into ECW and Meditech
6. Other duties as required
III. JOB CRITERIA AND PERFORMANCE STANDARDS:
Schedule Patients
Schedule patients following appointment scheduling criteria
Allow appropriate time intervals between patients
Direct new patients to arrive 15 minutes early to complete applicable paperwork
Direct patients to obtain studies and/or medical records to bring to their appointment
Act as a resource to patients to obtain medical records
If applicable, process referrals or direct patients to obtain referrals from their insurance carrier prior to office visit
Meet and Greet Patients
Greet patients at the front desk
Scan insurance card(s) and photo ID into ECW
collects applicable copays, coinsurance, deductibles and past due balances.
Ensures that a new patient information sheet is filled out on all patients and Consent to Treat/HIPAA authorization are completed annually and that necessary information changes are made at each visit
Answer Telephone
Answer promptly before the third ring in a courteous and professional manner
Transfer call to appropriate department
Document clear and concise messages into eClinical Works
Office Operations and Administrative Tasks
Scanning of incoming documents into ECW
Troubleshoot problems with computers, fax machines, and printers.
Fax reports as requested through ECW
Send medical records requests to appropriate party
May be responsible for completing prior authorizations for testing/procedures
Data entry into ECW billing
Verify demographics and insurance are complete and accurate, enters pharmacy information, enables patients for the eCW patient portal, updates the patient status in eCW as arrived, and verifies referrals if applicable
Schedule patient's next appointment / schedule any test as physician directed Retrieve/enter referrals if applicable.
Other duties as required
Job Qualifications:
QUALIFICATIONS:
- Education: High School Diploma or equivalent
- Experience: Medical office experience desired
- Other Skills: Basic computer knowledge, excellent communication, organization and interpersonal skills, scheduling flexibility
