Overview
This position has responsibility over admin duties in Customer Service, Accounting, and Service departments. The Office Administrator reports directly to the General Manager.
Responsibilities
- Accounts Payable – invoice entry, coding, approvals
- Accounts Receivable – payment application, deposits, statements, delinquent account communication
- Document filing and scanning
- Purchase Order Entry
- Sales Order Confirmations
- Management and maintenance of customer Resale Certificates
- Customer portal data management – retrieval, maintenance, updates
- Customer account maintenance
- Recuring and ad hoc reporting
- Project research
- Manage all office supplies – ordering, purchasing, retrieving, organizing
- Event planning and setup
- Act as backup for various roles
- Other tasks and projects as assigned by General Manager
Skills/Requirements
- Minimum 2 years’ experience in office administration or equivalent
- Experience with QuickBooks (desktop enterprise) is strongly preferred
- Strong experience with Microsoft Excel, plus Outlook, Word, and Teams
- Microsoft CRM and Dynamics 365 Customer Service experience is appreciated
- Proven ability to self-manage responsibilities, schedules, and time
- An acumen for accuracy, details, and consistency
- Communicate clearly and concisely, both verbally and in writing
- College degree preferred
In a nutshell
You will be responsible for many of the administrative tasks in each department at the Longmont office. Overall, you are responsible for ensuring:
- Daily tasks are completed in the required timeframe
- Daily/weekly/monthly tasks are planned and executed with consistency, with flexibility built in as business needs arise
- Strong communication is kept with department management on task status and cross-departmental issues/dependencies
- Attention is given to emerging issues while ensuring other tasks do not go by the wayside
- You are on-task, but flexible!
Location: This position is in-person and is based in Longmont, CO
Travel: No travel is required
Pay: $20 - $24/hour

Colorado's 2021 Equal Pay for Equal Work Act (SB 19-085) requires we inform you of the estimated salary range for this position: $20.19 - $24.04 an hour. Actual salary range is based on the requirements of the job and your skills.
