Position Title: Administrative Office Assistant

Position Overview
The Office Assistant at Drexel Academy provides essential administrative and customer service support to school leadership, staff, families, and community partners. This role includes managing front office operations, answering phones, welcoming and directing visitors, and supporting school communication and documentation systems. The Office Assistant may provide guidance or work direction to staff as needed at the direction of school leadership.
This position handles sensitive and confidential information and requires professionalism, discretion, and strong interpersonal skills.
Minimum RequirementsEducation
- High School Diploma or GED required
- Associate’s Degree preferred
Certification/ License
- None required
Work Experience
- Minimum of 3 years of administrative, clerical, or front-office experience in a fast-paced environment (school setting preferred)
Knowledge, Skills and Abilities
- Strong communication skills with the ability to work effectively with school staff, students, families, and community partners
- Ability to adapt between in-person and virtual environments as needed
- Proficiency with Microsoft Office Suite, Google Workspace, and virtual meeting platforms (Zoom, Microsoft Teams)
- Excellent writing, organization, and record-keeping skills
- Ability to work independently and collaboratively
- High attention to detail and accuracy
- Strong customer service skills and a welcoming presence in the school office
- Ability to handle confidential information with integrity
Essential Duties
- Serve as the first point of contact for families, students, visitors, and community members
- Answer telephones, direct calls, and provide general school information
- Welcome and check in visitors in alignment with school safety procedures
- Manage the school’s front office, including mail distribution, scheduling, and daily workflow
- Maintain calendars for school leadership, scheduling appointments, meetings, and events
- Assist with preparing materials for meetings, board packets, reports, and presentations
- Gather, organize, and compile information for school documents and communication
- Provide administrative support for special projects, including giving instructions to staff or volunteers when assigned
- Assist with student records, attendance processes, and data entry
- Support communication to families, including newsletters, flyers, and announcements
- Coordinate travel arrangements and process related reimbursements when applicable
- Maintain professionalism and confidentiality in all interactions and communications
- Maintain regular, on-site attendance during school hours and support the front office as needed
- Perform other duties as assigned by the school administration
