Responsibilities
- Perform data entry and maintain accurate records in internal systems
- Organize files including task lists, orders, receipts, and related documentation
- Assist in the creation and maintenance of training guides, SOPs, and templates
- Enter expenses into QuickBooks and reconcile statements, receipts, and checks
- Place and track orders for office, shop and project-related supplies and materials
- Maintain and update internal FAQs, warranties, and post service care guides
- Create and implement standardized communication guides
- Answer and direct incoming phone calls with professional communication
- Greet visitors at office
- Assist in client scheduling and follow-up procedures and documentation
- Schedule maintenance and repairs for company equipment and vehicles
- Coordinate inbound and outbound office mail
- Other related duties as assigned
Qualifications
- Proficient in Google Suite and Microsoft Office
- Familiarity with QuickBooks Online or similar account software
- Strong data entry and organization skills
- Comfortable with basic accounting and financial tracking
- Excellent written and verbal communication skills
- Strong attention to detail with the ability to create and maintain structured systems
- Can-do attitude and ability to work independently and as part of a team
- Strong ability to multitask
- Determined to always do things the right way
- High degree of professionalism
- Ability and eagerness to learn
- Timely and dependable
- Must be 18 years of age or older and have a valid driver’s license
- Accounting, administrative, customer service, clerical, front desk or receptionist experience is a plus
